Job Description

We are seeking a detail-oriented and proactive HR/Recruiting Coordinator to join our team. This role involves maintaining and updating our HRIS system, managing employee benefits, handling employment verifications, and ensuring compliance with state and federal regulations. As the HR/Recruiting Coordinator, you will play a vital role in our recruitment process, ensuring that we attract and retain top talent to contribute to our company's success. Your responsibilities will include conducting phone screenings, and performing interviews. The ideal candidate will have strong organizational skills, a keen eye for detail, and the ability to handle multiple tasks efficiently.

Key Responsibilities

Phone Screening:

  • Conduct initial phone screenings with applicants to assess their qualifications, experience, and fit for the position.
  • Clearly communicate job responsibilities, requirements, and company culture to potential candidates.
  • Evaluate candidates' communication skills, enthusiasm, and interest in the role.
  • Document phone screening notes in iSolved.

Interviewing:

  • Coordinate and schedule interviews.
  • Conduct structured interviews to evaluate candidates' skills, experience, and suitability for the position.
  • Assess candidates' cultural fit within the organization.
  • Collaborate with hiring managers to gather feedback and make informed hiring decisions.

Onboarding:

  • Coordinate new hire onboarding activities, including paperwork, orientation schedules, and equipment setup.
  • Liaise with relevant departments to ensure a smooth transition for new hires.
  • Act as a point of contact for new hires, addressing any questions or concerns during the onboarding process.

Administrative:

  • Maintain accurate and up-to-date records of candidate information, interview schedules, and hiring decisions.
  • Communicate with team leads and managers to ensure compliance with company policies, procedures, and documentation.
  • Assist in drafting job descriptions, posting job openings, tracking sponsored ad budgets, and updating recruitment materials.

HRIS System Management:

  • Update and maintain the HR Information System (HRIS) to consolidate all HR data from physical files, emails, and drives into a single, centralized database.

Benefits Administration:

  • Ensure all new hires enroll in benefits or sign a waiver within 60 days of hire. Maintain accurate records of benefit enrollment and waivers.

Health Insurance Administration:

  • Provide monthly updates to Art regarding health insurance changes.
  • Manage annual open enrollment activities, including communication, enrollment tracking, and updating the HRIS.

Employment Verifications and Record Requests:

  • Handle employment verifications and other record requests twice a week to ensure timely and accurate responses.

Workers' Compensation (WC) Audits:

  • Conduct annual Workers' Compensation audits for each state to ensure compliance and accurate record-keeping.

HR Compliance Projects:

  • Maintain up-to-date labor law posters and manage one-off HR compliance projects as needed to ensure adherence to legal requirements and organizational policies.

Requirements:

  • Bachelor's degree in Human Resources, Business Administration, or related field preferred.
  • Previous experience in a recruiting coordinator/human resources/similar role is advantageous. Experience in healthcare staffing is a plus.
  • Proficiency with applicant tracking systems and other HR software.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Excellent communication skills, both written and verbal.
  • Attention to detail and ability to maintain confidentiality.
  • Adaptability and willingness to take on new challenges in a fast-paced environment.
