Job Brief:

We are looking for a Receptionist to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks. The ideal candidate will be able to multi-task, manage high volume, learn quickly, and be bilingual; as well as have a pleasant, yet assertive personality.

Requirements:

Responsibilities:

· Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately

· Answering screening and forwarding incoming phone calls

· Receiving and sorting daily mail, preparing/sending packages through FedEx

· Update calendars and schedule meetings

· Perform clerical duties such as filing, photocopying, transcribing, and faxing

· Provide administrative support to the executive staff when needed, such as data entry, preparing correspondence, and record-keeping

· Coordinate with the office manager to ensure office supplies are well-stocked

· Assist applicants with applications – specifically Spanish speaking applicants

· Support the office manager, HR, and Engineering departments, as well as the Owners

Requirements and Skills:

  • Proven work experience as a Receptionist, Front Office Representative or similar role
  • Proficiency in Microsoft Office Suite
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Professional attitude and appearance
  • Bilingual
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Ability to work in a team environment
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Customer service attitude
  • High school degree
