Summary: 

This person is responsible for completing all filing and handling other medical record responsibilities on a daily basis.  S/he will work directly with the Patient Support Manager in development of the medical record staff including education, competencies, evaluation, performance correction, patient safety and customer service-related issues.  The Medical Records Team Lead will assist staff in reaching their full potential at each stage of their professional development. The focus will be on developing and enhancing medical record knowledge, technical skills, decision-making skills and inter-personal skills that staff use to provide quality services.   The Medical Records Team Lead is responsible to provide direction and supervision for the medical record staff in the patient support services setting.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Provide leadership in Patient Support Services and act as a resource and role model.
  • Provide supervision and support to medical records staff in a professional manner.
  • Counsel and train newly hired medical record staff.
  • Provide continuation training / education for medical record staff.
  • Consult with and support medical record staff in the efforts to serve patients and clinics.
  • Develop and maintain good collaborative working relationships and channels of communication with members of the care staff teams including all clinics and ancillary departments.
  • Monitor, evaluate, and correct staff performance relating to medical records/clinical practice and assist in raising the standards of practice.
  • Assist in coordinating daily staffing to ensure that all shifts are covered.
  • Attend management and other meetings as required by Grace Health.
  • Attend management development or training events organized or specified by Grace Health.
  • Monitor daily performance of team members to ensure duties are completed accurately, efficiently and timely. 
  • Keep up to date with current developments in department practice and education.
  • Ensure adherence to medical record policies and patient care guidelines of Grace Health.
  • Able to perform in roles Medical Records Clerk.
  • Ensure safety measures are observed throughout Patient Support Services areas.
  • Manage difficult situations with patients and staff using Christian principles.
  • Identifies and rewards positive performance regularly.
  • Demonstrate excellent customer service skills and holds all staff accountable for the same
  • Act as a positive change agent for performance improvement activities
  • Act as a role model to all staff.
  • Will monitor and control staff overtime
  • Ensure that all faxes and materials pertinent to patient charts are scanned and/or filed in an accurate and timely manner.
  • Ensure that patient documents and health records are filed and maintained.
  • File incoming faxes for all Grace Community Health Center locations.
  • Complete order tracking, order management and protocol from received mail and faxes.
  • Scan documents to server for billing company.
  • File and manage health information document batches through incoming faxes.
  • Answer telephone calls courteously and direct calls appropriately.
  • Answer calls referring to medical records/health information.
  • Pick up outgoing mail in providers offices.
  • Sort and deliver incoming postal mail.
  • Process release of medical record requests.
  • One-to-one contact with providers and clinical staff.
  • Perform all other duties as assigned.

GENERAL DUTIES:

  • Follows policies and procedures of the office, including administrative, clinical, quality assurance, and personnel
  • Maintain good attendance (daily, meetings, and other assignment tasks)
  • Maintain timely documentation of all work assignments
  • Maintain patient confidentiality
  • Routinely keep supervisor informed about attendance and job assignments
  • Flexible in being able to multitask
  • Work effectively and at an efficient pace
  • Work cooperatively with physicians, administration, and peers
