Job Summary: 

Under the general direction of the Accountant, the Administrative Assistant I - Accounting Assistant performs varied accounting operations including but not limited to, general accounts payable, maintenance of accounting files and information, data entry, research, and account reconciliations. This position works with staff, vendors, and community residents to assist with questions, status updates, and requests for information.  

 

Essential Functions: (include but are not limited to the following) 

  • Prepares invoices for payment and enters them into accounting software for processing. 
  • Maintains, organizes, and tracks invoices, vendor files, and other accounting records. 
  • Assists with monthly reporting and bank reconciliations. 
  • Assists in the preparation of accounting and financial reports, spreadsheets and schedules.  
  • Promptly responds to staff and vendor requests for accounting information or other accounting related assistance.  
  • Assists with accounting functions including general operations, reporting, payroll, accounts payable and receivables.  
  • May assist in preparing for the annual financial audit.  
  • Establishes positive working relationships with contacts at state and local agencies and associations, District management and staff, Board of Directors, and other work contacts.  

 

Other Duties: 

  • May travel to the County Administration offices as needed.  
  • Assists with District events as needed. 
  • Performs other related duties as assigned. 

 

Knowledge, Skill and Experience: 

 

Minimum Education required: 

  • HS Diploma 
  • Coursework or certification in accounting or related area preferred. 

 

Minimum Experience required: 

  • One year of experience in accounting, finance, payroll, or related area or equivalent combination of education and experience is preferred.  

 

Knowledge, Skills and Abilities required: 

  • Knowledge or ability to comprehend municipal finance and generally accepted accounting principles, practices, systems, regulations and reporting requirements relating to municipal finance. 
  • Ability to assist with planning and coordinating District’s accounting, financial record keeping and related fiscal responsibilities; perform basic accounting, data entry and bookkeeping work. 
  • Ability to apply sound judgment. 
  • Ability to read and understand basic financial documents and explain essential points clearly.  
  • Ability to process numbers, add, subtract, multiply and divide quickly and accurately.  
  • Ability to communicate effectively both orally and in writing and establish cooperative and productive work relationships with other District staff and external contacts.  
  • Ability to operate a variety of office machines, including computers, printers, copiers, calculators, telephone and other equipment related to assigned activities.  
  • Intermediate level knowledge of Microsoft Office software, including Excel, Outlook, Word, and PowerPoint.  

 

Other requirements: 

  • All applicants must be fingerprinted and pass pre-employment background check.
  • Valid California Driver’s license and proof of auto insurance. 

Physical Job Description: 

 

Typical Working Conditions:  

Standard office environment; occasionally attends off-site meetings and training sessions; may regularly travel to the County Administration office. 

 

Equipment Used:  

Computer keyboard, telephone, calculator, copier, printer and related office equipment. 

 

Essential Physical Tasks:  

Occasionally travels to attend off-site meetings and training sessions. Frequently lifts office supplies, paper and equipment up to 25 pounds.  

 

Physical Demands:  

Mobility and dexterity to work in a standard office environment, use standard office equipment and attend off-site meetings and training sessions. Speech and hearing to communicate in person and by telephone. Vision to read handwritten and printed materials and a computer screen. Strength and agility to frequently lift and carry items up to 25 pounds.
