Position Summary:
Under the supervision of the Accountant, the Accounting Assistant plays a crucial role in executing various financial tasks. This includes, but is not limited to, managing accounts payable, maintaining financial records, data entry, conducting research, and performing account reconciliations. The role involves collaboration with staff, vendors, and community members to address inquiries, provide updates, and fulfill information requests.
Key Responsibilities:
- Process invoices for payment and input them into accounting software for efficient handling.
- Organize, maintain, and monitor invoices, vendor documentation, and other financial records.
- Support monthly reporting and assist with bank reconciliations.
- Contribute to the preparation of financial reports, spreadsheets, and schedules.
- Respond promptly to inquiries from staff and vendors regarding financial information or assistance.
- Assist with various accounting functions, including general operations, reporting, payroll, and accounts payable and receivable.
- May aid in the preparation for the annual financial audit.
- Foster positive working relationships with contacts at local agencies, management, and other stakeholders.
Additional Duties:
- Occasional travel to administrative offices may be required.
- Assist with organizational events as necessary.
- Perform other related tasks as assigned.
Qualifications:
Education:
- High School Diploma required.
- Preferred coursework or certification in accounting or a related field.
Experience:
- Preferred one year of experience in accounting, finance, payroll, or a related field, or an equivalent combination of education and experience.
Skills and Abilities:
- Understanding of municipal finance and generally accepted accounting principles, practices, and reporting requirements.
- Ability to assist in planning and coordinating financial record-keeping and related responsibilities.
- Proficient in basic accounting, data entry, and bookkeeping tasks.
- Strong judgment and analytical skills.
- Ability to interpret and explain financial documents clearly.
- Proficient in numerical calculations and data processing.
- Effective communication skills, both verbal and written, with the ability to establish productive working relationships.
- Proficient in operating various office equipment, including computers and standard office software.
- Intermediate knowledge of Microsoft Office Suite, including Excel, Outlook, Word, and PowerPoint.
Other Requirements:
- All applicants must undergo fingerprinting and pass a pre-employment background check.
- A valid driver's license and proof of auto insurance are required.
Work Environment:
Standard office setting with occasional off-site meetings and training sessions. Regular travel to administrative offices may be necessary.
Equipment Utilized:
Includes computer, telephone, calculator, copier, printer, and other related office equipment.
Physical Requirements:
May involve occasional travel for meetings and training. Frequent lifting of office supplies and equipment up to 25 pounds may be required.
Physical Demands:
