Title: Front Desk Assistant

Employee Classification:  Administration

 Reports to: Office Manager 

Non-Exempt Position: Hours can range from 2:30 pm -8:30 pm 

Monday – Friday.

Start training August 1st

 

Position Summary:

The front desk aide is responsible for the reception area of the Club, and will serve as the first impression to members, parents and visitors. This includes the greeting of all guests, answering phone calls, and assisting with any questions regarding the Club and Club programming. This position is also responsible for collecting payments, enforcing payment policies, and tracking attendance and other grant related information. Other duties, including but not limited to filing, assisting with special events and other tasks assigned by the Office Manager. Must be cooperative, and friendly and create a safe environment; as well as abide by and support the Club mission, to enable all young people to reach their full potential as caring, productive and responsible citizens.

 

QUALIFICATIONSKnowledge:

  • Demonstrated knowledge of customer service, working with children, and office management
  • Ability to organize, accomplish tasks efficiently and timely, and to take the initiative to perform other  tasks as needed
  • Knowledge of basic office equipment (computers, copy machines, etc) required 



Education:

High school diploma or higher or equivalent experience. 


Experience:

  • Experience in a Boys & Girls Club (or similar organization) preferred.
  • Demonstrated ability to create a positive environment for all youth is required
  • Must have demonstrated experience in an office setting and/or customer service


Physical Requirements:

  • Ability to sit for long periods of time
  • Able to handle a variety of repetitive tasks, with interruptions



KEY ROLES (ESSENTIAL JOB RESPONSIBILITIES)Operate & Manage the Front Desk

  • Maintain the upkeep, safety, security and appearance of the front desk
  • Track daily membership, program attendances
  • Monitor and track all visitors, volunteers and any other guests who enter the building
  • Maintain an organized filing system at the front desk
  • Entry of membership information MyClubHub
  • Answer all phone calls and transfer or take messages for appropriate personnel
  • Disperse and communicate necessary information to members, families, and the public about upcoming events, field trips and activities
  • Must provide quality customer service, provide guided tours, and answer questions regarding Club programs, fees, policies, etc.


Payment Collection & Policy Enforcement

  • Accept weekly payments from parents and issue receipts
  • Maintain accurate and up-to-date information regarding member accounts
  • Enforce payment policies and make collection calls on unpaid accounts
