Position Description

Job Title: Development Director Assistant

FSLA: Non- Exempt

Job Status: Part- Time

Reporting Functions: Reports to the Development Director and Principal


Job Function: Will assist with Advancement and Development tasks and clerical duties. Collaborates with school volunteers and assist with fundraising events.


Job Responsibilities:

Marketing/Social Media Tasks:

  • Schedule social media posts based on weekly, monthly, or one-time schedules.

  • Works with faculty & staff for current events/happenings for school postings.

  • Follow, like, share relevant pages to show support of our community partners (Allentown Diocese, Mercy School, ACCHS, etc.).

  • Works with media outlets with our target audience to advertise and promote STM School activities and events.

  • Works with the main office with the google school calendar for all fundraising events and communications. Responsible for making sure that the google calendar and all platforms are current and updated for events and fundraising happenings.

  • Works with the Development Director to assist the school volunteers or event chairs in promoting the event, print materials, social media & website.

  • Maintain a set of materials for outreach opportunities and make sure the inventory is available and ready in the event closet (Tablecloths, banners, signage, etc.).

  • Prepare Parent Weekly Newsletter with Administration.

  • Send out Constant Contact emails for the school.

Events/Fundraising Tasks:

  • Works with the Donor Perfect Program for all donations, sponsorships, event registrations, thank you receipts, and mail merges.

  • Responsible for all checks received through the Development office to be processed, scanned, and input into Donor Perfect.

  • Responsible for maintaining files (digital or hard copy) of each event throughout the school year to include all donations, sponsorships, and expenses.

  • Works with the Development Director to create online forms and payment links for all events & school fundraisers.

  • Works with the Development Director to create & maintain school Volunteer forms and Volunteer Sign Up Genius for school events and fundraisers.

Graphic Design/Website Tasks:

  • Responsible for all graphic design of all marketing materials, virtual or in print, using the school logo, color etc.. with a personalized and cohesive look throughout.

  • Maintain and manage the school website to update content, add feature articles, and create webpages for special news or events (ie: Gala, Walkathon, etc.).

  • Collaborates with the church graphic design/website representative to make sure all communication is thoroughly coordinated between church and school.

Educational Requirements:

  • High School Diploma or equivalent


Other Requirements:

  • Due to the nature and mission of the Catholic Church, all employees are bound to exhibit respect for the teachings and discipline of the Church in regard to matters of faith and morals.

  • At least 3 years' experience in secretarial or administrative field, preferably in a School office setting.

  • Clear records of Pennsylvania State Police Criminal Record Check (PATCH), Pennsylvania Child Abuse History, and Federal Bureau of Investigation Criminal Background Fingerprint Check as required under Commonwealth of Pennsylvania's Act 153 of 2014 (No less than 1 year old.) As well as attendance at the online Protecting God's Children class and Mandated Reporter Training.

  • Proficient in Microsoft Word, Microsoft Excel, and database management.

  • Possess knowledge and skills in the following areas: marketing, event/fundraising, graphic, and website design.

  • Good organizational and telephone skills.

  • Demonstrate dependability and trustworthiness.

  • Ability to maintain confidentiality.

  • Present a businesslike demeanor during contact with volunteers and staff and outside vendors.

  • Flexible and composed to handle pressure situations.

Working Conditions: Normal office environment. Normal work hours are Monday through Friday, 7:45 a.m. to 3:15 p.m.; Part-time, 29 hours a week. Will be required to work outside normal workday or weekly schedule (including nights and weekends) to attend meetings and events.


Physical Demands: Must have the ability to sit for extended periods of time; walk, reach with arms and hands, climb or balance; some carrying, pushing, and/or pulling may be involved; as well as some stooping, kneeling, crouching or crawling; exhibit manual dexterity to handle or feel, manipulate keys on a keyboard, dial a phone and operate office equipment; to see and read a computer screen and printed material with or without vision aids; hear and understand speech at normal levels and on the telephone; speak in audible tones so that others may understand clearly in person and on the telephone; ability to understand and follow oral and written instructions; physical agility to lift up to 25 pounds.
