Bilingual Office Assistant

Position Overview:
The Bilingual Office Assistant will play a crucial role in ensuring the smooth operation of our office. The ideal candidate will have strong oral and written communication in Mandarin and English, a strong background in office management, with additional experience in HR. Familiarity with the entertainment industry is highly desirable. The Office Assistant will be responsible for office & operations management, administrative tasks and HR support, contributing to the overall efficiency and effectiveness of our organization.
Responsibilities:
Office & Operations Management:
- Oversee the day-to-day operations of the office, ensuring a clean, organized, and efficient workspace.
- Manage office supplies, equipment, and inventory, including ordering and restocking as needed.
- Coordinate maintenance and repairs for office equipment and facilities.
- Serve as the primary point of contact for vendors, service providers, and building management.
- Assist in the planning and execution of company events, meetings, and team-building activities to foster a positive workplace culture.
- Work with the finance team to administer reimbursement payment process for vendors
- Collect and respond to incoming mails in a timely manner
HR Support:
- Assist with HR-related tasks, including onboarding and offboarding processes, maintaining employee records, and managing HR documentation.
- Support the implementation and communication of HR policies and procedures.
- Help coordinate employee training and development programs.
- Assist in resolving employee inquiries and issues in a timely and professional manner.
Requirements
Qualifications:
- Bachelor’s degree in Human Resources, Business Administration, or equivalent work experience
- Language Requirement: Proficiency in Mandarin and English is a must
- Positive “can-do” attitude with a high level of integrity and discretion
- Proven experience in office management, HR support, and entry level recruiting.
- Passion to work in a fast paced and growing entertainment industry, previous experience within the entertainment industry is highly desirable.
- Excellent organizational and multitasking skills.
- Strong communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite and familiarity with HR and recruitment software is a plus.
- Ability to maintain a high level of confidentiality and professionalism.
- Strong attention to detail and problem-solving skills.
- Ability to work independently and as part of a team with minimal supervision
