Position Overview:

The College Counseling Assistant is responsible for supporting the daily functions of the College Counseling Department and for providing administrative support for the College Counselors. The role is rooted in confidentiality, empathy, attention to detail, versatility, flexibility, adaptability to changing responsibilities, and the motivation to expand the depth of job-based knowledge.

Essential Job Duties and Responsibilities:

  • Supports the College Counselors in the effective operations of the office
  • Coordinates all aspects of the college rep visit program (scheduling, welcoming and hosting visiting college admission representatives, reserving spaces, managing student sign-up, preparing welcome bags, communicating to faculty and administration, etc.)
  • Navigates student and parent conversations with confidence, providing basic information regarding college application process, deadlines, and relevant resources, and redirecting calls as needed
  • Utilizes relevant software and databases to manage and update student information, such as transcripts, standardized test scores, and college application materials
  • Submits school documents and student information to colleges, Florida Bright Futures, NCAA, etc.
  • Generates reports and summaries as needed for the college counseling team and for other school administrators, including application, admission, and matriculation information
  • Creates and manages mailing lists, email lists, and other reports for student and family communications
  • Organizes logistics for a variety of special events, including parent nights and speakers, (gathering and preparing materials, working with the Facilities and IT departments to arrange for necessary equipment, room reservations, etc.)
  • Assists in the planning of graduation, including managing regalia and diploma ordering, name verification, etc.
  • With the Dean of Academics, plans, organizes, and oversees the Academic Awards Ceremony
  • Assists in the coordination and administration of AP exams, PSAT, and PreACT
  • Drafts, proofs, and distributes office communications and materials
  • Coordinates printing projects
  • Other duties as assigned

Requirements:

  • Ability to attend occasional evening and weekend functions when necessary

Qualifications:

  • A 4-year degree required
  • Previous administrative, college counseling experience in a school setting preferred
  • Strong typing skills and working knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint)

Compensation and Benefits

This appointment is for the 2024/2025 academic year starting on August 1, 2024. It is paid on an hourly basis, commensurate with experience, degree attainment, and qualifications.
