Essential Duties:
- First Point of Contact:
- Greet patients with a warm smile and assist them with their needs.
- Answer phone calls with enthusiasm, addressing patient requests and concerns promptly and cheerfully.
- Triage decisions, issues, complaints, and requests, forwarding to the Practice Manager when necessary.
- Patient Engagement:
- Discuss treatment plans, insurance coverage, and patient balances in an easy-to-understand manner.
- Accurately determine co-pays, deductibles, and other expenses before appointments and document them in patient notes.
- Accept and record payments made in person, via mail, and over the phone.
- Scheduling & Coordination:
- Present payment options to patients and make arrangements according to our practice’s protocols.
- Monitor the daily schedule and book appointments, balancing production and capacity needs.
- Manage the Doctor and hygiene schedules to optimize appointment utilization.
- Ensure all hygiene patients are scheduled for follow-up appointments before they leave.
- Patient Care Follow-up:
- Work on continuing care and overdue treatment lists, and contact patients with pre-authorized treatment plans.
- Schedule patients promptly once pre-authorization is received from insurance.
- Administrative Tasks:
- Ensure all necessary radiographs, lab cases, paperwork, and other information are updated and complete before patient appointments.
- Verify receipt of medical clearances if needed before appointments.
- Send requested records from patients and update their files.
- Check in lab cases and document appointments with relevant information.
- Assist the Team Lead with other administrative assignments as needed.
- Perform any other duties as assigned.
Knowledge/Skills/Abilities:
- Strong computer skills, including Microsoft Office and Teams.
- Excellent verbal and written communication skills.
- Strong interpersonal skills for fostering positive working relationships.
- Outstanding customer service and leadership abilities.
- Denticon software, preferred.
