Check In (Front Window)


  • Greet all patients that come into the office
  • Counsel patients about their account, demographics, insurance, etc or get Patient Accounts to assist, if needed
  • Check-in Patients-
    • For established patients: verify Primary Care Physician and pharmacy, give patient kiosk.
    • For new patients: enter Primary Care Physician, scan picture ID & insurance card, give patient kiosk.
    • Make sure to scan a picture ID for all patients who don’t have one in system.
    • Enter guarantor for all minors.
    • Medicare/Medicare Advantage patients should sign a beneficiary form. This form should be signed once a year. Document on “Sticky Note” in ModMed of date signed.
  • Assist patients with kiosk
  • Complete School/Work Excuses, as needed
  • Assist with calling patients to reschedule/cancel, per appointment reminders
  • Assist with rescheduling appointments due to changes in doctors’ schedules
  • Assist others at the front, as needed (Check-out)
  • Check voicemail, daily
  • Pick up lobby before leaving building, make sure all doors are locked
  • Make appointments for walk-in patients as needed
  • Sort incoming mail/packages. Give to Office Manager for further sorting.
  • Check insurance visits daily (Medicaid)
  • Morning: Sign in to tablets, cut on TVs in lobby
  • Night: Sign out of tablets, clean and place them on charge
  • Notify Office Manager of any issues as they arise
  • Any other task requested by management or physician
  • Multi-tasked position
  • Late night will be every Thursday and every 3rd Tuesday.
  • This is a two-person station. Responsibilities/Duties are to be shared and these two people will need to work closely together and communicate effectively with each other.
