Job Title: Body Shop Office Assistant

Reports To: Body Shop Manager

Job Description:

  1. Performs any combination of the following and similar accounting duties;

  1. Answer incoming phone calls
  2. Greet and assist customer with claim questions. In addition check in customers when CSR is not available.**Process is similar to CSR on section 1c.
  3. Call Insurance companies to set up initial inspections and/or supplements if applicable.
  4. Input original estimates to respective estimating program. Match supplements in estimating system to be able to move car in progress.
  5. Assist in making phone calls to verify coverage, obtain copies of estimate/supplements and securing payment. Assistance may be needed in updating customer if service advisor is not available.
  6. Assist in the vehicle delivery process. i.e. go over lights w/service advisor
  7. Estimator assistant is to be aware of vehicles in production in case advisors are not available. Be a temporary backup whenever an advisor is out sick, vacation, lunch & etc.
  8. Estimator Asst is to be a backup for Reception when out sick, vacation or requested day off.
  9. Check on A/R for vehicle about to be deliver or gone.
  10. Close files for the current month. Assure that files are BAR compliant with proper documentation and authorizations. In addition, files being close need all parts to match w/estimating system and Reynolds.
  11. Follow up with A/R when all paperwork is in line by the Service Advisor.
  12. Issue PO’s for RO’s for the shop
  13. Oversee shop accounts payable and receivables.
  14. Assure that all compliances are up to date for OSHA & Fire dept. Create and organize so it’s ready when needed.
  15. Manage the filing and storage of all completed customer files.
  16. Assist front office when CSR and/Est Asst are not available. Be a temporary backup whenever out sick, on vacation, at lunch & etc.

  1. Keep CompliGo Training at 100% complete.

  1. Conform to the company’s policies on non-discrimination and harassment, and work in a cooperative and positive manner with all personnel.

  1. Wear Car Pros Employee ID Badge daily.

  1. Maintain a professional demeanor while on the job.

  1. Performs other tasks as assigned.

Vehicles Driven or Moved as Part of the Job:

  1. Move new or used vehicles for customers.
  2. New and used car repositioning on sales lots as required for display.
  3. Other driving as assigned.

  4. Stooping (bending at the waist), kneeling (at knees) and crouching (at knee and waist): Infrequent activity, not equal to or more than 10 % of the working day.
  5. Lifting: Maximum of 10 lbs. on an infrequent basis.
  6. Carrying: Maximum of 15 lbs
  7. Pushing and pulling: 20 lbs
