This position is vital for maintaining a healthy sales volume, which in turn supports the operational profitability of the organization.

Key Responsibilities

Customer & Insurance Relations:

  1. Promptly greet all clients and provide accurate estimates regarding repair costs and timelines.
  2. Ensure that all deadlines are met while maintaining clear and professional communication.
  3. Engage with insurance adjusters and appraisers in a courteous and professional manner.
  4. Prepare repair invoices that reflect a reasonable profit margin for the facility.
  5. Address customer complaints with professionalism and courtesy.
  6. Obtain necessary approvals from customers and insurance adjusters for any adjustments in body and paint repairs.
  7. Coordinate with the shop foreman to schedule jobs and ensure accurate delivery timelines.
  8. Keep customers informed with timely updates on project deadlines.
  9. Conduct final inspections on all jobs to verify that all requests have been fulfilled accurately.
  10. Complete final billing for repair orders before notifying customers of job completion.
  11. Adhere to collection policies for all payments related to body and mechanical repairs.
  12. Determine payment destination and expected arrival time within 24 hours of liability acceptance and customer approval.
  13. Ensure that all supplements are approved by insurance prior to the release of the vehicle.
  14. Maintain a clean and organized customer waiting area at all times.

Management System Utilization:

  1. Ensure all estimates are accurately matched and entered into the management system.
  2. Input all invoices into the management system for tracking and auditing purposes.
  3. Regularly audit files to confirm that the management system reflects accurate Gross Profit figures.
