United Structural Systems, LLC provides commercial and residential foundation repair, waterproofing, floor support systems, sinkhole remediation, encapsulation, concrete leveling, and other specialty contracting services to Middle Tennessee, Southern and Western Kentucky.

We are seeking a detail-oriented and organized Accounts Receivable Clerk to join our finance team. As an Accounts Receivable Clerk, you will be responsible for processing invoices, managing customer accounts, and ensuring timely collection of payments. The ideal candidate should have strong attention to detail, excellent communication skills, and a solid understanding of basic accounting principles.

DUTIES AND RESPONSIBILITIES:

  • Creates new customer accounts and jobs as needed in Sage Intacct daily.
  • Create, review, and edit customer sales orders in Sage Intacct daily.
  • Prepares invoices for residential and commercial clients (to include any appropriate pay applications and/or data entry into client portals) in Salesforce, sends to customer, and reconciles customer accounts.
  • Updates customer accounts daily with payments or communications received.
  • Monitors and maintains accounts receivable aging.
  • Assists with accounts receivable process through correspondence and collection calls when payment is not collected at time of completion.
  • Maintains accounts receivable records to ensure aging is up to date, credit and collections are applied, uncollectable amounts are accounted for, and miscellaneous differences are cleared.
  • Reconcile receivables aging report between Sage Intacct and Salesforce weekly.
  • Works closely with other departments within the company (customer service, scheduling, inside sales, etc.) to verify job prices, labor and materials used on job site, payment agreements with customers, and provide appropriate documentation prior to customer payment.
  • Works within financing portal for customer financing, credit card processing portal, and any other third-party payment portals to provide financing applications, request funds, and pull receipts of payment on a daily basis.
  • Supports other members of the accounting team as needed.
  • Assist in streamlining the accounts receivable process by identifying areas for improvement.
  • Assists with related special projects as needed.
  • Performs other related duties as assigned by management.

QUALIFICATIONS:

  • High school diploma
  • 0-2 years accounts receivable or related experience
  • Proficient In Microsoft 365 (Outlook, Teams, Excel, Word, etc)
  • Experience in Sage Intacct accounting system is a plus
  • Experience in Salesforce is a plus
  • Acute attention to detail and strong organizational skills
  • Excellent written and verbal communication skills
  • Ability to understand and follow written and verbal instructions
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm
  • Reliable transportation
  • Ability to work in office located in Pleasant View, TN
