This is a remote/hybrid position; you will need to come to the Portland office for team meetings and training. The position pays $18.00-$22.00 per hour depending on experience.

In this position you will:

  • Cordially, professionally and respectfully field calls and emails as needed. Courteous and prompt communication and responses to all affiliates and inquiries.
  • Demonstrate interpersonal skills to ensure positive interactions with coworkers, consumers, affiliates and the public, as well as cultural competence (sensitivity awareness) with same.

  • Assist with maintaining client records including collection, storage and archiving of records and supporting quality review of client documents to ensure compliance with licensing, accreditation, contractual requirements.
  • Assist in affiliate recruitment: Welcome packets, and maintaining contractor contact information website directory, and folders.

DUTIES:
  • Client data entry into EVOLV (Electronic Health Record).
  • Submission of insurance verifications including entry into EHR.
  • Submission of insurance authorizations for MaineCare.
  • Assist with maintaining client records: uploading documentation into chart (to meet quality review of client documents, ensure compliance with licensing, accreditation, contractual requirements).
  • Assist as needed with weekly and monthly documentation reports, caseload document tracking reports, supervision reports, Authorization Tracking reports (bi-weekly). This will include communication with Affiliates.
  • Responsible for a defined set of Affiliates as primary point of contact relative to clients. Support assistant practice manager with maintenance of clinician licensure and other contractor file/documents.
  • Assist with new affiliate insurance credentialing.
  • Produce internal and external correspondence and reports as requested by Affiliates Practices Manager. Maintain communication with program staff and other agency staff (finance, HR, Accounts Payable, etc.) as needed.

QUALIFICATIONS:

High school diploma or G.E.D. required; undergraduate degree and/or one-two years relevant work experience (i.e., secretarial, computer management, office management, medical office) preferred.
