What You Get to Do:
  • Provide general administrative support for Clinical Operations Director and Clinical Supervisors.
  • Answer the central telephone system and direct calls accordingly.
  • Receive the public and answer questions in person and by telephone; respond to inquiries from employees, citizens, and others and refer, when necessary, to the appropriate person, official, or department.
  • Responsible for opening and closing the Lobby area.
  • Serves as department resource for troubleshooting, operational assistance, and clinical staff support.
  • Assists clinical supervisors with new staff training/orientation and prepares related materials.
  • Responsible for organizing and facilitating emergency preparedness-related activities, including but not limited to drills and tabletop exercises.
  • Implement emergency preparedness policies and procedures during and after an emergency or event, e.g., running reports during an emergency to help track patients and staff. Assists supervisors as needed to establish an incident command and delegate tasks/responsibilities, etc.
  • Provide staff with educational resources regarding emergency preparedness.
  • Monitors local news and alert systems to report potential anticipated emergencies to the Clinical Operations Director and Clinical Supervisors (Weather, Fire, etc.).
  • Assists with updates and monitors policies and procedures.
  • Participates in data analysis for ongoing quality projects.
  • Assist the quality and other clinical departments with various reporting, audit submissions, and data reporting.
  • Assist in survey readiness.
  • Support and troubleshoot staff scheduling and processes.
  • Provide PTO staff coverage, overflow support, and process troubleshooting for various departments.
  • Provide scheduling support to all clinical departments (Rehab, Home Care Aides, Nursing, etc.).
  • Assist with pharmacy-related pick-up and coordination.
Required Skills & Qualifications:
  • Clinical Administrative Associate possesses excellent interpersonal skills in a clinical setting, and the ability to communicate and relate effectively with Partners In Care staff, and agency visitors via in-person, phone, and email communications.
  • Must be detail-oriented with excellent organizational, communication, problem-solving, and time management skills. Able to take direction from a wide variety of individuals at all levels.
  • Prior experience in hospice and home health operations is desired, and a willingness to develop a broad knowledge base in these areas is required. More than 75% of daily tasks are completed at a desk.
  • Advanced word processing, Excel/spreadsheet, and graphics software skills.
  • Requires a high school diploma or its equivalent.
  • Ability to pass a background test, drug screen, and TB test.
  • For those working in the field, current automobile insurance, a valid Oregon drivers license, and reliable transportation are required.
  • Ability to work independently and collaboratively within an interdisciplinary team.
