Food Procurement CoordinatorLocation: New York, NYNew York Common Pantry is one of the city’s largest food pantries, providing food assistance, case management services, senior food provision, nutrition education, and hygiene services. We are a dynamic, mission-driven organization, experiencing rapid growth and expansion at this time.
NYCP is a poverty-fighting organization that reduces hunger and promotes dignity, health, and self-sufficiency by using a holistic approach to reach over 104,000 distinct people--over 660,000 visitors each year. Last year, we served almost 10.2 million meals. Through an array of programs that we offer, we look to establish long-term stability for those we serve.
Under the supervision of the Managing Director of Programs, the Food Procurement Coordinator is responsible for data entry for all Food Programs services rendered at NYCP and for preparing the required weekly, monthly, quarterly, and yearly reports.
The Food Procurement Coordinator will report to the Food Sourcing Manager at the Oak Point and East Harlem location. The schedule for this position is Monday through Friday: 9 am - 5 pm; 1-hour lunch. This is a Full-Time, hybrid position, 35 hours a week, non-exempt.
Responsibilities:
Assist with data entry and preparing meal reports for the Food Programs department that include but not limited to Choice pantry and hot meals distribution.
Track inventory levels of food supplies to prevent shortages or overstock situations.
Keep detailed records of procurement activities, including purchase orders, invoices, and delivery receipts.
Analyze costs and spending patterns to identify opportunities for cost savings and efficiency improvements.
Track invoices and or request outstanding invoices from suppliers in a timely manner.
Submit Invoices for all food programs expenses into the inventory database daily. (Enter purchase orders (P.O) into NYCP’s inventory system to reconcile incoming inventory against purchase orders.
Scan invoices from purchased items and storing in the appropriate folders within the agency database.
Provide support to the Director of Food programs with maintaining the Product Pricing Tracker for all purchased food and supplies items.
Generate and present reports on procurement activities, expenses, and savings to management.
Work closely with other departments, such as pantry, kitchen, and nutrition education staff to understand food needs and preferences.
Collaborate with the Hot Meals staff to ensure all data is entered daily in the appropriate sign in spreadsheets.
Enter data on the Pounds of food and ensure information is up to date.
Schedule Food rescue pickups and assisting in establishing routes/logistics for drivers.
Enter daily food donation receipts into Vonigo food rescue system.
All other food programs related duties as assigned by the Food Sourcing Manager and the Managing Director of Programs.
A high school diploma or the equivalent is required; a Bachelor's Degree or Associate Degree is preferred.
Commitment to helping the communities in need and NYCP’s work and mission.
Proficient with Microsoft Office Suite, Google Drive.
Strong skills in data entry and spreadsheets, and the ability to learn new software quickly.
Comfortable working with diverse populations.
Ability to multi-task and work in a highly trafficked area.
Highly organized knowledge of case management databases is a plus.
Strong customer service and interpersonal skills are required.
