PERFORMANCE OBJECTIVES:

  • Prepare biweekly payroll files in compliance with HR requirements, ensuring accurate calculation and processing of employee salaries.
  • Verify timecards and attendance records to ensure payroll accuracy for both hourly and salaried employees.
  • Collaborate with external payroll service provider to facilitate accurate and timely processing of payroll data.
  • Maintain current knowledge of tax regulations and verify accurate tax calculations to ensure compliance.
  • Monitor tax compliance and serve as primary liaison between the organization and payroll company for tax-related matters.
  • Assist payroll company with documentation and data for tax audits and compliance checks.
  • Maintain precise payroll records and generate reports for internal stakeholders and auditing purposes.
  • Maintain property tax payment schedule, ensuring timely payments for all properties.
  • Support internal and external audits related to payroll, ensuring adherence to company policies and legal requirements.
  • Address employee inquiries and resolve payroll-related issues, including discrepancies and deduction queries.
  • Investigate and rectify discrepancies in payroll records and payments to ensure accurate employee compensation.
  • Prepare periodic sales and use tax filings for each property, regularly reviewing rates and ensuring timely payments.
  • Coordinate with Accounting team and external consultants for Sales Tax and Payroll Tax Compliance Audits.
  • Manage tax rates and implement new tax codes in the system to maintain compliance.
  • Prepare and distribute reports as needed to support team operations.


Requirements:

KEY COMPETENCIES:

  1. Payroll Processing: Expertise in processing payroll accurately and efficiently, including calculating wages, taxes, deductions, and benefits. Familiarity with payroll software and systems is crucial for managing employee data and generating payroll reports. Payroll should be prepared biweekly by end of the day on Tuesday.
  2. Tax Compliance: Comprehensive understanding of payroll tax regulations at the federal, state, and local levels. Ability to accurately calculate and remit payroll taxes, including income tax withholding, Social Security, Medicare, and unemployment taxes. Knowledge of tax filing deadlines and procedures is essential to ensure compliance and avoid penalties.
  3. Sales Tax Knowledge: Proficiency in sales tax laws and regulations applicable to the organization's operations. Ability to calculate, collect, and remit sales tax accurately for various jurisdictions. Experience with sales tax software or systems for managing tax rates, exemptions, and compliance reporting. Accurately adding all current rates to the subledger system.
  4. Attention to Detail: Payroll and sales tax accounting require meticulous attention to detail to ensure accuracy in calculations, data entry, and reporting. Thoroughly reviewing financial documents, reconciling accounts, and identifying discrepancies are critical aspects of the role.
  5. Analytical Skills: Strong analytical abilities to interpret financial data, identify trends, and perform reconciliations. Analyzing payroll reports, tax filings, and sales tax records can help identify errors, discrepancies, or areas for improvement.
  6. Compliance Management: Proactively staying informed about changes in payroll tax laws, regulations, and compliance requirements. Implementing internal controls and procedures to ensure accurate payroll processing and tax reporting while mitigating compliance risks.
  7. Problem-Solving: Ability to troubleshoot payroll and tax-related issues, address inquiries from employees or tax authorities, and resolve discrepancies effectively. Employing critical thinking and problem-solving skills to navigate complex payroll and tax scenarios.
  8. Communication Skills: Clear and effective communication is essential for conveying payroll and tax-related information to internal stakeholders, employees, and external parties such as tax authorities or auditors. Providing guidance, training, and support to colleagues on payroll and tax matters.
  9. Deadline Management: Managing payroll processing schedules, tax filing deadlines, and reporting requirements to ensure timely and accurate submissions. Prioritizing tasks and managing workload effectively to meet critical deadlines.
  10. Ethical Conduct: Upholding ethical standards and integrity in handling sensitive payroll and tax information. Maintaining confidentiality of employee payroll data and adhering to ethical guidelines in tax reporting and compliance activities.

EDUCATION & EXPERIENCE:

  • Bachelor's degree in accounting, Finance, or a related field is preferred.?
  • Previous experience in payroll accounting or a related role is highly desirable.?
  • Proficiency in payroll software and Microsoft Excel is essential.?

PHYSICAL REQUIREMENTS:

  • Constantly sit, talk, or hear; Frequently use hands.
  • Manual dexterity for handling paperwork and using office equipment.
  • Clear vision and hearing for reviewing documents and communicating effectively.
  • Capability to lift up to 10 pounds.
