Job Summary:

As a highly organized and detail-oriented Group Reservation & Express Meeting Coordinator, you will be responsible for coordinating and managing group hotel reservations and ensuring excellent customer service for all group bookings while booking small groups within the sales & catering department. Your exceptional communication skills and ability to multitask will be essential in this role.

Qualifications:

  • Proven experience in group hotel reservations or a similar role
  • In-depth knowledge of hotel operations and reservation systems
  • Strong customer service skills with the ability to handle and resolve guest inquiries or complaints.
  • Excellent organizational and time-management abilities
  • Proficient in using reservation management software.
  • Ability to work independently and collaborate effectively within a team.
  • Exceptional attention to detail and accuracy Delphi knowledge

  • Coordinate and manage all group hotel reservations, including monitoring group bookings and ensuring accurate room inventory management.
  • Book room-only groups of 10-15 rooms on peak, up to 3 nights, with no meeting/event space requirements.
  • Execute group evaluator to Revenue Manager and DOSM to determine group room rates.
  • Liaise with event planners, travel agents, and other stakeholders to understand the specific needs and requirements of group bookings.
  • Assist in negotiating rates and contractual agreements with clients, ensuring profitability and guest satisfaction.
  • Maintain regular communication with guests to provide updates and address any concerns or issues related to their bookings.
  • Collaborate with other hotel departments, such as sales, front office, and housekeeping, to ensure smooth operations for group guests.
  • Process reservations, cancellations, and modifications accurately and efficiently.
  • Prepare daily reports and provide timely updates to the management team regarding group block status and revenue.
  • Stay updated on industry trends and competitors' offerings to identify opportunities for improvement and enhance guest satisfaction.
  • Handle any escalated issues or complaints related to group bookings and ensure their prompt resolution.
  • Train and mentor junior team members, when necessary
