Position Summary:

Scheduling patient appointments in an efficient and timely manner in accordance with Advanced Radiology’s established policies and procedures. Provides exceptional service to patients and supports technologists and radiologists in the performance of radiological procedures.


Schedule: Monday-Friday 8:30am-5pm and rotating Saturday shifts

Location: Trumbull CT


Essential Job Duties and Responsibilities:

  • Scheduling of diagnostic imaging exams via phone system into radiology information system (EPIC) filling in with next available appointments.
  • Use EPIC mammo tracking module to efficiently schedule all Bi-Rad 0 and Bi-Rads 1-2 patients that need to return for additional imaging.
  • Use Sectra to communicate and respond to doctors’ requests.
  • Read and understand all Mammogram reports in order to explain what is being asked by the Radiologist.
  • Call patients within 24 hours of finalized report and returns all messages from voicemail.
  • Document all call attempts in a call log in EPIC and create a follow up reminder call for additional attempts when necessary.
  • Contact referring physicians if call attempts are unsuccessful or if patient refuses additional imaging.
  • Send out certified letters to patients you are unsuccessful in reaching. On occasion may need to confirm biopsy patients and follow calls post biopsy.
  • Burning CD’s and requesting outside images as necessary.
  • Prioritize patient satisfaction and escalate patient concerns and/or complaints to Office Manager.
  • Respect patient confidentiality by adhering to HIPAA standards.
  • At times may be asked to assist technologist with patient care by greeting and escorting patients to and from changing and exam rooms.
  • As time permits, assist in stocking and preparing radiologic rooms for exams. Empty laundry bags and put away clean laundry; Clean and stock dressing rooms.
  • May be asked to perform other duties as necessary.

Knowledge, Skills and Abilities:

  • Basic knowledge of anatomy and medical terminology required
  • Ability to multi-task and function in a fast paced, high-volume environment is required
  • Strong typing skills desired
  • Bi-lingual skills are helpful

Educational Requirements:

  • High school diploma or general education degree (GED)
  • Graduate of Medical Office Assistant Program preferred
  • Minimum 1-2 years’ related experience and/or training; or equivalent combination of education and experience.
