About You

The Medical Administrative Assistant should have the following qualifications:

• Education: Associates or certificate in medical administrative assistance from an accredited

facility.

Experience:

  • Minimum of 1 years’ experience preferred, not required.
  • Proficiency in all Microsoft Office applications.
  • Experience with HEALTHeLINK; preferred.
  • Experience with EMR; preferred.
  • Experience with Medent; preferred.
  • Administrative experience practicing in a value-based clinical model.
  • Experience in an urban setting is preferred.
  • Entrepreneurial: CINQCARE seeks to fix gaps that have persisted for generations in the delivery of care to Black and Brown populations. This position is accountable for ensuring CINQCARE is positioned to innovatively deliver on its promise.

About the Job

The Medical Administrative Assistant will have the following responsibilities:

  • The Medical Administrative Assistant provides administrative support under the guidance and supervision of healthcare providers and aids in building long-term patient relationships.
  • Perform administrative functions including not limited to verifying family members demographics, insurance, and registration for visits and collection of payment.
  • Assist with Medical Records management and completion of quality/open gaps in care activities.
  • Prepare and complete prior authorizations for diagnostic testing utilizing insurance.
  • Management of triages, inbound faxes, orders, overdue orders, referrals, and routing of documents.
  • Performance of chart preparation.
  • Assist with health information management, medical records, and mail.
  • Update and maintain family members’ health records.
  • Assist with family members’ calls and routing appropriately.
  • Assist with scheduling family members appointments, reminder calls and reschedules.
  • Conducting no show calls and follow up for testing and appointments.
  • Completion of forms as indicated and scheduling of family members.
  • Monitor and assist with quality measures and tracking.
  • Performance of duties assigned by management as needed.

General Duties

The Medical Administrative Assistant will have the following duties:

  • Collaboration: Work together as an inter-professional, interdependent team in the family members' best interests to support comprehensive care delivery
  • Knowledge: Stay up to date on latest clinical and practice guidelines

The working environment and physical requirements of the job include:

This position requires office-based work. In-office work is performed indoors in a traditional office setting with conditioned air, artificial light, and an open workspace.

In this position you will need an ability to communicate with customers, vendors, management, and other co-workers in person and over devices, sometimes with people who are agitated. Regular use of the telephone and e-mail for communication is essential. Sitting for extended periods is common. Must be able to receive ordinary information and to prepare or inspect documents. Lifting of up to 30 lbs. occasionally may be required. Good manual dexterity for the use of common office equipment such as computer terminals, calculator, copiers, and FAX machines. Good reasoning ability is important. Able to understand and utilize management reports, memos, and other documents to conduct business.
