Position Summary

The Executive Administrative Assistant is responsible for supporting several key executives with organizational activities, the ongoing management of high priority board and committee meeting. He/she must communicate effectively and efficiently while keeping the highest standards of confidentiality and demonstration of superior interpersonal skills.


Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Acts as a liaison with other departments and outside agencies, including high-level staff such as CEOs, presidents, senior vice presidents and chiefs. Handles confidential and non-routine information and explains policies when necessary.
  • Schedules and organizes complex activities such as meetings with participants that have fairly rigid schedules (including board members, executives, external entities and physicians) travel, conferences and department activities for all members of the department.
  • Ensures that board and committee meeting agendas, supporting materials and minutes are prepared and handled appropriately, with strict adherence to timeliness and confidentiality. Assists with follow-up activity.
  • Supports key executives in daily management activities including expense reporting and credit card reconciliation.
  • Creates and maintains reports, documents, corporate organizational charts, and visual presentations for Administration.
  • Maintains conference room calendars and spaces. Prepares for all meeting logistics including the organization of catering and meeting room facilities/amenities.
  • Organizes and prioritizes large volumes of information and requests. Prepares reports as necessary.
  • Opens mail for executives if requested. Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information.
  • Answers phones for designated executives. Takes messages or fields/answers all routine and non-routine questions.
  • Works independently and within a team on special nonrecurring and ongoing projects, if requested.
  • Demonstrates superior communication and interpersonal skills.
  • Other duties as assigned.

Supervisory Responsibilities

This job has no supervisory responsibilities.


Education / Experience / Requirements / Qualifications

  • Associate's Degree required; Bachelor's Degree preferred
  • 5+ years of executive administrative experience; or equivalent combination of education and experience
  • Ability to work with and maintain confidentiality of physician, patient, patient account and personnel data
  • Ability to work effectively within a team environment
  • Clear, concise and persuasive writing and presentation skills
  • Proficient critical thinking and analytical skills
  • Decisive and capable of exercising good judgment under pressure
  • Ability to be flexible, manage a diverse and demanding workload with minimal supervision
  • Expert level and proficient in MS Office Suite including Excel, PowerPoint, Word, Outlook and Visio. Access experience a plus.
  • Outstanding organizational skills with demonstration of exceptional planning and coordination
  • Demonstrated ability to problem solve and manage unforeseen changes to plans
  • Excellent multitasking ability
  • Outstanding communication skills
  • Strong attention to detail
  • Experience and skill with providing excellent customer service and maintaining cooperative working relationships in and outside the department
