Position Summary: The Registration and Meetings Associate is a creative thinker, detail-oriented, organized, self-motivated, effective communicator, and digitally proficient. This is a great opportunity to work in the meeting, conference industry, and learn best practices from a team of meeting professionals. The Registration and Meetings Associate will be a key player in the delivery of CADCA’s signature events, including the CADCA Forum, Midyear Training Institute, and Drug-Free Kids Dinner events
Specific Duties
- Assist V.P. of Meetings and Marketing in daily administrative duties and proactive tasks to ensure departmental organization and readiness.
- Develop, strategize, and troubleshoot timelines and agendas to ensure a well-planned and organized event
- Coordinate and oversee online and onsite registration processes for signature events
- Stewardship - Follow up via telephone and email.
- Proof and review event logistics to ensure accuracy and fulfillment needs.
- Track and respond to all inquiries regarding meetings and special events.
- Research options for special events as needed.
- Assist in developing publications for Forum, benefit dinners, and other meetings and events.
- Oversee award and thank-you gifts for honorees and special guests.
- Compose correspondence, i.e., donation/sponsorship requests, invitations, and responses to inquiries.
- Track/catalog correspondence.
- Coordinate and execute database digital correspondence.
- Compose/coordinate mailing thank-you letters.
- Coordinate/arrange travel for attendance at CADCA events, including coalition leaders and VIPs
- Research sites and options for additional meetings and special events.
- Assist in developing additional meetings and special events/performing other duties as needed.
Required Skills
- Excellent written and verbal communication skills
- Ability to establish quick rapport with staff and members
- Ability to multi-task, troubleshoot issues, and initiate projects to improve processes
- Team player, comfortable working in a collaborative environment
- Working knowledge of Office 365 and database systems
- Working knowledge of InDesign project management, a plus
- Knowledge of CMS platforms and experience with CRM systems
- At least two years' experience in events and meeting registration.
- Bachelor's degree required
