DOCUMENT CONTROL CLERK/ADMINISTRATIVE ASSISTANT

Stellar Energy’s innovative solutions include turbine inlet air chilling, inlet air conditioning (heating and cooling), evaporative cooling, direct contact air chilling, thermal energy storage, district cooling and central utility plants. The company’s experience spans more than 20 years and stretches across the globe, with offices in the United States, Asia and the Middle East and North Africa (MENA) region.
Essential Functions
Document Control
Work with Document Control Team:
- Manage project documentation repository and distribution.
- Organizes, distributes, and tracks project records.
- Manages and monitors transmittal traffic and responses.
- Ensures easy access to project information to stakeholders.
Administrative Assistant
Assist Office Manager with some or all of the following:
- Work with Facilities Maintenance by submitting work request tickets, as needed.
- Set-up desks/offices for new employees; manage employee office moves.
- Communicate with IT for any staff technology needs.
- Ship as needed via FedEx, UPS, DHL
- Update Employee Phone List as needed.
- Continuously identify office supply needs and order as necessary.
- Maintain stock and cleanliness of work areas and company break rooms.
- Back up the Receptionist as needed. Welcome visitors, answer, and route incoming calls.
- Assist in organizing SEA special events and meetings coordination.
- Any additional tasks, as requested.

Supervisory Responsibility
This position has no supervisory responsibilities.
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Position Type/Expected Hours of Work
This is a full-time position, and hours of work and days are Monday through Friday, 8:00 a.m. to 5 p.m.

Required Education and Experience
- At least two years of previous experience in an office setting.
Preferred Education and Experience
- High School Diploma, or equivalent
- Experience with Electronic Record Management Software
