Job Summary

Veregy is seeking a Part Time Project Coordinator. The Project Coordinator undertakes and performs a variety of support tasks and assignments to support office and field work performed by one or more Project Managers, Project Accountants and/or others as assigned.

Essential Duties and Responsibilities

  • Files electronic & hard copy construction documents from contract to close of project. Compiles all final project documents at close of project and creates closeout manual.
  • Enters subcontract change orders and material purchase order request into Viewpoint (by Vista) (breakout, coding, qty., scope description, etc). Submits change orders and purchase orders to rest of project team and vendor for processing and execution, follow up as required.
  • Reviews accuracy of compliance for subcontract documentation and performs tracking, logging, and communication to ensure receipt of: Performance & Payment Bonds, Certificates of Insurance (and Renewals), Master & Project Specific Contracts, and Contract Affidavits, follows up as required.
  • Assists in subcontractor compliance reviews and payment processing at times, tracks processing as needed.
  • Updates contract tracking log and active status, reports to Regional Managers monthly.
  • Reviews monthly contractor posting and tracks contract compliance for proactive completion before payment is required.
  • Manages certified payroll receipt for Regional Office & saves files accordingly.
  • Responds to subcontractor/vendor Preliminary Notices.
  • Prepares O&M Manuals and various close-out documents at completion of project.
  • Other duties as assigned.
  • Reports to Sr. Project Accountant and assists Regional Project Accountants on a regular basis.

Knowledge, Skills and Abilities

  • Knowledge of the principles of file & records management and the basic principles of bookkeeping and/or accounting.
  • Experience in simultaneously managing multiple projects with overlapping deadlines, deliverables, and other requirements.
  • Skill in establishing and maintaining effective working relations with co-workers, vendors, customers, and the general public.
  • Ability to use MS Office suite.

Educational/Certification Requirement

  • High School diploma or equivalent.

Required Experience

  • Two years of project assistance, project coordination, administrative assistant or closely related experience in construction, HVAC, or related field.

Work environment

  • This position requires most of the work to be accomplished in an office environment.

Physical demands

  • This position requires sitting for periods of time at a computer with the freedom to walk around office when necessary; occasional phone, copy machine, and other office machine use; participate in teleconferences using a headset/earpiece, bending and lifting to 50 lbs. as needed.
