CASA has a sister organization, CASA in Action, a separate, but related, nonprofit organization that is exempt from federal income tax under section 501(c)(4) of the Internal Revenue Code. Although CASA and CASA in Action share a common goal of supporting immigrants and low-income people in Maryland, Pennsylvania, and Virginia, they are separate organizations with their own board of directors. A set of employees at the two organizations, including the person filling this position, shares their time between the two organizations. This has no effect on salary or benefits.
DEPARTMENT SYNOPSIS:
The Administrative Department at CASA Inc. provides administrative support to all programs and departments at CASA. The Administrative Team is responsible for the overall operation of the organization including site management, information technology, and human resources.
POSITION SUMMARY:
The Human Resource Coordinator will be in charge of responding to internal and external HR related inquiries or request related to payroll, time & attendance, benefits invoice processing, reporting, different departmental complex audits and 401k. The HR Coordinator also works in conjunction with the Finance Department to ensure that all staff are paid accordingly as well as assisting on other tasks related to the daily functions of the Human Resource (HR) department.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Reviews and reconciles health insurance carrier’s invoices. Communicates any enrollments discrepancies to the HR Generalist for correction purposes.
- Submits vendor invoices in Airbase for payment processing and monitors payment to ensure that carriers are paid on time and accordingly.
- Creates the payroll report. Ensures to include all the necessary information for new hires, terminations, promotions, new benefits enrollments,etc and submits it to Finance for payroll processing purposes. Assists with any questions or corrections during the payroll processing period.
- Manages all aspects of tax jurisdictions compliance, set up and maintenance in ADP.
- Processes yearly increases for all staff in coordination with the Sr HR Manager and the Finance Department.
- Manages all areas of time and attendance including but not limited to time card set up,trouble shooting, etc., to new hires and existing staff.
- Creates and manages leave policies and profiles in ADP. Audits system for accuracy periodically.
- Conducts complex audits related but not limited to 401K, worker’s compensation, HRIS systems, personnel’s files, etc.
- Troubleshoots ADP for malfunctioning issues, assists on password resets and employee’s queries
- Creates and assists other departments on putting together or pulling data from the HRIS Systems.
- Creates and monitors payroll deduction codes in ADP.
- Serves as point of contact to the Union Leadership for payroll questions, union dues, new hires, promotions and terminations.
- Maintains and monitors the time and attendance system for accuracy.
- Assist with HRIS, payroll and benefits testing, configuration, validation, and reporting as needed.
- Notifies to the Sr HR Manager and the designated departments about any HRIS system errors/discrepancies of data and ensures that it is corrected accordingly.
- Produces and reviews ad hoc reports and ensures data accuracy and integrity.
- Provides support to staff questions, issues and problem resolution on services such as benefits, payroll, compensation and HR policies and procedures.
- Reviews the entry and coding of new hires.
- Maintains compliance with federal, state, and local employment laws and regulations, and recommended best practices.
- Performs other duties as assigned.
QUALIFICATIONS:
- Associates Degree in Human Resources, or at least two years of related experience is preferred.
- Experience with ADP HRIS systems is a plus.
- Experience auditing HRIS systems, performing worker’s compensation and retirement plans audits is preferred.
- Good understanding of payroll processes and time & attendance management practices.
- Problem-solving and solid communication abilities
- Outstanding verbal and written communication skills
- Basic knowledge of Human Resources practices is required
- Bilingual in Spanish is a plus
- Valid US Driver’s License and reliable transportation
