The Inventory Manager will provide inventory support to the Revenue Management department as it relates to group and transient business. This position will provide support to the Sales and Revenue Management departments in regards to group inventory needs.  

Responsibilities

  • System management including balancing PMS to external systems, monitor interfaces to external systems and third parties, and clearing queues 

  • Inventory responsibilities including balancing transient room types, identifying and communicating any potential issues for future inventory, and managing room authorizations 

  • Inventory management responsibilities including pre-blocking rooms as necessary 

  • Strong communication with management regarding walk-in strategy, property and market oversell strategy; upgrade strategy, new promotions or market codes, etc. 

  • Communicate with the hotels to assist in analyzing reports and react as necessary including but not limited to reviewing and contacting arrivals, reviewing reservation deposits, researching no-shows, and local account VIP special requests 

  • Responsible for reviewing package production, as well as system related tasks including set up, billing, plan breakdowns and market codes (FSPMS) 

  • Attend the weekly revenue meeting as necessary, including being an active participant in inventory discussions 

  • Responsible for supporting the Sales and Revenue Manager in running tasks, producing reports, changing rates etc. as instructed 

  • Knowledge to support revenue management building rate codes, room types, descriptions, & package codes as necessary.  Support revenue management in preparation of weekly sell strategy meetings and other seasonal support as necessary. 

  • Miscellaneous tasks including but not limited to website audits, ability to run reports on demand, research customer care issues as necessary, support reservation department, audits, and additional call center statistics 

  • Responsible for managing the FIT stop sells and communicating with tour operators and revenue management.  

     

     

  • Inventory responsibilities as it relates to group inventory including balancing group room types to ensure straight line availability or to release group rooms at cut-off dates, identify and communicate any potential issues for future inventory to the Revenue Manager, and manage group room authorizations over group dates and shoulder dates.  

  • Responsible for maintaining group inventory as it relates to building and managing group blocks in the system, providing detailed and accurate group notes in all systems, review accuracy of group resumes in regards to accommodations, upgrades, etc. 

  • Support sales with client correspondence as it relates to group blocks, including upgrades, additional room requests, and VIP’s 

  • Responsible for maintaining systems as it relates to group blocks including group routing and master accounts, group packages, booking links, etc. 

  • For Marriott Full Service properties this position is responsible for any updates to CI Projections, and any group changes within specified date parameters to OYv2 

  • Must attend the weekly revenue & sales meeting, including being an active participant in regards to any group related issues as necessary 

  • Responsible for reviewing all group resumes to ensure proper setup and accuracy  

  • Must be able to run group reports as needed, and provide knowledgeable insight to management based on analyses of these group reports (ie: anticipated wash or higher pick-up expected) 

  • Responsible for routine system audits ensuring all group matches across all systems 

  • Responsible for supporting the Sales and Revenue Manager in running tasks, producing reports, etc. as instructed 

  • Responsible for Group Files Turnover, checking blocks for accuracy between sales system, PMS & contracts
