HR/Payroll Specialist Responsibilities
  • Responsible for the administration of all human resource activities for the company, company policies and procedures, and maintenance of necessary documentation
  • Responsible for the administration of the hourly payroll and company provided benefit programs, processing the weekly hourly payroll accurately and timely with all employees
  • Serve as expert for any questions or issues raised by employees in the various HR areas, and working closely with department managers to ensure employee needs are being met
  • Issue ADP timecards for new employees and replace defective ones
  • Provide Payroll general ledger reports to Controller weekly
  • Serve as primary contact person with 3rd party staffing agencies including but not limited to payroll
  • Work with department managers to address seasonal staffing needs
  • Issue Temporary timecards for new staffing employees and replace defective ones
  • Verify weekly invoicing and forward to accounting for payment
  • Maintain Temp log with start dates, pay rate, and billing rates
  • Schedule interviews between managers and candidates. Administer all Pre employment screenings including Drug screens and Background checks
  • Conduct new employee onboarding and orientation, including all new hire paperwork, including I-9s, E-Verify and handbook review
  • Support management on any disciplinary issues, using established policies while performing investigations and document conversations and actions
  • Maintain the Employee Handbook for permanent full-time employees and the Seasonal Worker Handbook for our part-time, seasonal workers
  • Perform on-going assessment of all related HR policies, procedures and benefit programs and make recommendations for improvements (efficiencies and costs controls)
  • Work with CFO with the control and distribution of certain policies and procedures applicable to other employees within in our international operations, wage administration program, group insurance programs, 401k, etc.
  • Initiate notifications to management and administer annual Performance Evaluation program for all Salaried and Hourly employees, tracking progress to completion
  • Be assessable to employees which includes regular visits and walk-throughs of the factories and storage operations
  • Serve as key contact and coordinator for Company sponsored events e.g. Christmas party, annual picnic, Thanksgiving lunch, etc.
  • Primary contact for everything related to benefits including problem solving, questions, working with 3rd party service providers
  • Coordinate activities of and services provided by 3rd party benefit administrators and insurance providers
  • Primary contact for employees related 401K concerns including loans, stopping contributions, and answering questions
  • Coordinate activities that pertain to maintenance of our supplemental insurance program (AFLAC and Colonial Life)
  • Coordinate the workers compensation program ensuring compliance with federal and state laws
  • Work with insurance provider to timely report any claims and maintain claim follow up procedures
  • Work closely with the Health & Safety Manager and department managers to ensure adequate training and health and safety programs are being administered in accordance with our policies
  • Serve as a key, active member of the Health & Safety Committee
  • Payroll processing – generate and review “edit” report prior to final submission of payroll
  • Review and approve 3rd party vendor invoices (benefit administrators, ADP, staffing agencies and office supply vendors)
