POSITION SUMMARY:
The Stewardship Coordinator contributes to the efficiency and effectiveness of the Sourcing team by providing administrative support to the Sourcing Managers (specializing in retail rescue, produce donations, perishable donations, and nonperishable donations). This position is responsible for creating and maintaining resources such as donor portfolios, new donor prospects, donor lists/databases and administering the donor recognition program. The Stewardship Coordinator will serve as the connection between the sourcing managers while they are in the field and the rest of the organization, especially the Marketing and Communication team, Development team, and Logistics team.

ESSENTIAL JOB FUNCTIONS:
- Maintains donor recognition program by tracking data, levels of giving, regular mailings, gifts, and planning annual events.
- Completes all monthly, quarterly, semi-annual, and annual stewardship tasks on time and without prompting.
- Understands requirements for food donations and is the first in line to answer the donation hotline.
- Reviews incoming donations daily and follow up with new donors, one-time donors, or missed pickups.
- Creates and regularly modifies standard language for donor communications such as campaign updates, newsletters, thank you notes, impact reports, etc.
- Coordinates special events for donors, varying between recognizing donors and simply connecting with donors.
- Helps coordinate tours at the Food Bank and at partner pantries, to display the important role donors play in fulfilling our mission and the impact it has on the communities we serve.
- Works with the Development team to share best practices and provides a consistent experience for all donors of HFB.
- Facilitates accurate data entry; performs ongoing data maintenance and clean-up independently and with the Data department.
- Manages all food show rescue opportunities by coordinating with internal departments as needed.
- Develops and maintains donor portfolio and donor prospecting list.
- Supports Sourcing Managers by assisting with reports, queries, and special projects as needed.
- Utilizes qualitative and quantitative data to build and maintain donor and donation data.
- Creates and shares clusters, routes, and efficient day trips with Sourcing Managers.
- Develops and maintains data-based standard patterns for ongoing solicitation, site visits, and account follow-up to ensure donor development, growth of the donor relationship, and the timely resolution of any problems with donations, pickups, or other matters.
- Develops and grows innovative ideas to increase donor engagement including Impact communication, urgency drives, alternative ways of giving, etc.
- Shares and highlights industry news to the rest of the HFB staff.
- Creates/modifies branded donor communications including handouts, newsletters, etc.
- Serves as a Food Bank Ambassador by seeking to gain a full understanding about programs, transportation, agencies, volunteer, development, and food drive opportunities.
- Contributes to Procurement Department goals and work plans.
SUPERVISORY RESPONSIBILITIES:
This position has no supervisory responsibilities.
QUALIFICATIONS:
Education/Experience:
- Associate’s degree from an accredited college or university; Bachelor’s degree preferred
- 1 year of experience in a related field (i.e. event management, database management, fundraising, administrative assistant)
Certificates, Licenses, and Registrations:
Must have reliable transportation, a valid driver’s license, and insurance.

PHYSICAL REQUIREMENTS:

TRAVEL REQUIRED:
Travel is required for this position (up to 10% of the time and on a domestic basis within our 18-county service area).
This role supports hours of operations at the Houston Food Bank facilities, as necessary, and may require flexibility (e.g., times of disaster, community events, company events).
