Firefly is currently seeking a Regional Adoption Recruitment Coordinator. As a Regional Adoption Recruitment Coordinator, you will be responsible for recruitment activities for waiting youth and prospective families in your assigned regions. The waiting youth are youth in foster care who are awaiting a forever family; many of them are older and in danger of aging out of foster care, while others have additional needs or behavior challenges. It is anticipated that this position will cover Indiana DCS Regions 1, 2, 3, and 6, and will include areas in and around Gary, Merrillville, Crown Point, South Bend, Elkhart, Valparaiso, and Kokomo.

This position will have some remote work as well as some in person travel for meetings or events.

Within the assigned regions, the Regional Adoption Recruitment Coordinator will be responsible for external-facing relationship-building and outreach activities that support the Indiana Adoption Program, a statewide initiative to help find homes for youth in foster care. Additionally, the Regional Recruitment Coordinator is responsible for the management and completion of recruitment activities for the youth in the assigned region who have been referred for recruitment services.

The successful candidate will have some expertise and/or experience in working with children and families, preferably older youth (ages 10+). Additionally, the successful candidate will have strong writing skills, demonstrated experience in developing new relationships and cultivating existing relationships with community organizations, and strong organizational and time management skills, including ability to multi-task.

The Regional Adoption Recruitment Coordinator will be the “public face” of Indiana Adoption Program for their assigned regions, and as such is expected to demonstrate enthusiasm and expertise about the subject matter, as well as an eagerness to develop and try new outreach efforts that successfully communicate the need for adoptive families for the youth in Indiana Adoption Program. This position requires some travel around the state, and may require weekend and evening availability.

You will have the following responsibilities:

Youth Recruitment Activities (60%)

  • Write strengths-based child summaries for youth referred for a child summary in assigned regions in adherence with requirements and expectations of Indiana Adoption Program and DCS.
  • Work with DCS Adoption Consultants and IAP team to ensure that youth referred for recruitment receive the necessary materials in the appropriate timeframe, including professional photography, a strengths-based profile, etc.
  • In collaboration with DCS Adoption Consultants, identify youth in need of additional recruitment efforts, and coordinate completion of those activities.
  • Identify “out of the box” ideas for recruitment for youth in assigned regions, including connecting with local organizations, mentor opportunities, and expanded digital outreach.
  • Manage the recruitment process for youth in assigned regions from initial referral through to removal from recruitment, including monitoring, placement, and adoption information to ensure accuracy and appropriate recruitment efforts. Includes effectively communicating with adoption consultants regarding incomplete, expired, or outdated referrals and profiles.
  • Keep detailed notes regarding recruitment efforts, and provide regular reporting on said efforts and results for youth in assigned regions.

Community Outreach and Engagement (25%)

  • Collaborate with Associate Director to develop outreach strategy for each quarter, including major events, community and minority outreach, webinars, media outlets, etc.
  • Conduct outreach in assigned regions to educate about IAP, including participation in advocacy events, presentations or participation at conferences, and relationship development with specific targeted communities
  • Develop relationships with specific organizations, program staff, community stakeholders, and youth/families within assigned regions to skillfully deliver educational information about adoption to families and community
  • Conduct outreach during National Adoption Month to secure media coverage about NAM and IAP around the state. This may include partnering with local organizations, CASAs, or courts; attending high-profile NAM events, etc.
  • Provide regular reporting on community outreach efforts and results, as well as offer recommendations to improve outreach-related outcomes for the program.

Event Planning (10%)

  • Plan and execute match events or other recruitment efforts in assigned region. Effort and materials will vary based on type of event being planned. Includes research, organization, and participation at events, as well as processing inquiries from day-of as needed.
  • Manage and distribute community calendars for trainings, match events, and other activities, including the IAP website calendar.
  • Collaborate with local offices, CASAs, courts, and other organizations during National Adoption Month to plan adoption celebration event, including materials to be provided to adoptive families, obtaining photos and releases, etc.

General Clerical and Admin (5%)

  • Communicate with internal team and external partners about ongoing recruitment efforts, and provide documentation as necessary
  • Maintain youth recruitment and family outreach files on server and in database to ensure proper organization
  • Pull reports from database on monthly basis for reporting to DCS.

To be successful in this role, you should have:

  • Bachelor’s degree in social work or directly related human services field preferred
  • Experience in event planning and communication preferred
  • Demonstrated experience developing new relationships and cultivating existing relationships with community organizations
  • Experience working with youth, especially ages 10+, is preferred
  • Excellent verbal and written communication and people skills
  • Strong organizational and time management skills, including ability to multi-task and remain focused
  • Proficient in Microsoft Office suite (Word, Excel, and Outlook); the ability to acquire knowledge and mastery of internal proprietary database and systems.
  • Ability to complete assignments with high level of accuracy, and understand day-to-day detail as well as broader strategic initiatives
  • Demonstrated appreciation for collaboration and interaction with a broad spectrum of individuals, as well as ability to respond to cultural differences
  • Motivation to ensure work quality meets established standards.
  • Enthusiasm and eagerness to brainstorm new ideas for outreach, and a desire to bring a balance of creative and measurable efforts to outreach activities.
