Job Description

Here Tomorrow reimagined suicide prevention and developed an innovative approach to providing same-day mental health support to people at risk for suicide and family members worried about the safety of a loved one. Position Summary: The Receptionist role serves as the first point of contact for Here Tomorrow. The duties include customer service tasks such as receiving visitors by greeting and welcoming them, monitoring the door entry system, and assisting with the needs of the people we serve. This role includes managing deliveries, communication with the staff and distributing correspondence while streamlining front office operations. The is role requires a pleasant and warm personality, as this is an area where the Greeter is the face of Here Tomorrow where mental health support services are provided. This position should also be able to manage security situations if they arise in a timely and effective manner. Multitasking and communication management skills are essential for this position. The duties and responsibilities are to ensure the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards.

Responsibilities:
  • Greet and welcome guests as soon as they arrive at the office.
  • Communicate articulately and be an active listener.
  • Direct visitors to the appropriate parties.
  • Ensure the reception area and meeting spaces remain tidy, presentable, and have all necessary materials and are set up properly daily.
  • Provide basic and accurate information in-person and via Teams communication and email (will not be required to take calls).
  • Receive, sort, and distribute daily mail/deliveries.
  • Maintain office security by following safety procedures and controlling access via the reception desk. A monitoring system is in place.
  • Keep inventory of stock and communicate needs when low.
  • Update calendars and schedule meetings upon request.
  • Provide occasional office administrative support such as other clerical receptionist duties such as filing, photocopying, and mailing.
  • Ability to multi-task, be calm, and empathetic.
  • Dependability.

Position Status and Qualifications:
This is a part-time non-exempt position. A minimum of a high school diploma or GED, and prior experience with Microsoft Office. Prior experience with Teams is preferred. Excellent communication, good literacy, and interpersonal skills. Organized and resourceful. Customer-focused.
