Job DescriptionJob DescriptionBoutique San Francisco law firm is seeking an experienced Firm Administrator to join their team.

The Firm Administrator is responsible for providing a wide range of office management and support to the firm. The essential functions include, but are not limited to the following:
  • Manage overall administrative activities for the firm
  • Responsible for the day-to-day facilities operations including supervising the maintenance and alteration of office areas and equipment such as the layout, arrangement, and housekeeping of office facilities; purchasing office supplies, furniture, office equipment, etc. for the entire staff
  • Recruit, interview, and select employees
  • Assist attorneys and paralegals with related activities in an accurate and timely manner
  • Supervise the work of administrative and paralegal employees to ensure adherence to quality standards, deadlines, and proper procedures, correcting errors or problems
  • Provide employees with guidance in handling difficult or complex problems or in resolving escalated complaints or disputes
  • Implement firm policies, procedures, and service standards.
  • Discuss job performance problems with employees to identify causes and issues and to work on resolving problems
  • Train or instruct employees in job duties and firm policies, and arrange for training to be provided
  • Evaluate employees' job performance and conformance to regulations and recommend appropriate personnel action
  • Review records or reports pertaining to activities such as production, payroll, or shipping to verify details, monitor work activities, or evaluate performance
  • Interpret and communicate work procedures and firm policies to staff
  • Maintain records pertaining to inventory, personnel, orders, supplies, or machine maintenance
  • Research, compile, and prepare reports, manuals, correspondence, or other information required by management or governmental agencies
  • Develop or update procedures, policies, or standards
  • Make recommendations to management concerning such issues as staffing decisions or procedural changes
  • Participate and supervise in a wide range of firm projects and events
  • Perform administrative work such as typing, filing, sorting, and distributing mail; assist with the preparation of correspondence to clients
  • Perform other duties as required
Minimum Qualifications (Knowledge, Skills, and Abilities)
  • Bachelor’s degree preferred
  • Previous experience as an office manager; supervisory experience is a plus
  • Strong computer and internet skills including all MS Office Suite (Word, Excel, Outlook, PowerPoint) required
  • Experience with payroll software a plus; familiarity with administration of 401k plans, medical/dental insurance, COBRA, ERISA, FMLA, and related state and federal regulations a plus
  • Experience with Quickbooks and ability to manage basic accounting
  • Must be a self-starter with excellent interpersonal and communication skills with a talent for customer service
  • Must be efficient with strong attention to detail
  • Must have strong customer support orientation (internal and external), demonstrated professional demeanor, and the ability to maintain confidential information
  • Must have strong skills in organization and planning, demonstrated ability to work independently, and exercise sound judgment and problem solving
  • Must have proven ability to manage projects and prioritize tasks
  • Must have excellent presentation skills
