Job Description:

Under the general supervision of the Director of Finance (DoF), the Financial Assistant (FA) is responsible for verifying and completing various functions of the Finance Office. The FA is also responsible for assisting in maintaining the accountability of company funds. Demonstrates knowledge and skills to communicate and interact with staff appropriately, patients, families, and visitors of all age groups while being sensitive to their cultural and religious beliefs.

Responsibilities:

  • The FA updates the office supply requisitions and distributes monthly via email.
  • The FA solicits office supply vendors for quotes for all categories.
  • The FA reviews requisitions and selects vendor with best price.
  • The FA prepares purchase orders for office supply requisitions.
  • The FA emails purchase orders to vendors for orders that cannot be placed via websites and sends a copy to the department requesting item(s) with the date purchase order was faxed to vendor.
  • The FA occasionally verifies quantity on hand items listed on requisitions.
  • The FA completes online orders for office supplies per purchase orders, then emails a copy of purchase order and confirmations to locations.
  • The FA maintains originals/copies of all items needed for re-order. (Ex. Letterhead, envelopes, etc)
  • The FA reconciles all clinic checking accounts.
  • The FA enters daily encounter reports into an excel spreadsheet.
  • The FA prepares monthly encounter report by the 5th of the following month.
  • The FA assists in preparing for the annual independent audit and provides support during the audit process.
  • The FA demonstrates a willingness to work flexible hours, as necessary.
  • The FA assists the Director of Finance and Chief Financial Officer in the preparation of the annual Medicare cost report.
  • The FA protects operations by keeping financial information confidential.
  • The FA verifies DAR deposit amounts with deposit slips.
  • The FA maintains historical records by filing documents accurately.
  • The FA contributes to team effort by accomplishing related results as needed.
  • The FA willingly assists the Director of Finance and Chief Financial Officer in all aspects of the financial management of the organization's records.
  • The FA understands and adheres to the area of confidentiality relating to payroll, payables, receivables, and other financial information of the organization.
  • The FA obtains bids/quotes when deemed necessary for office supplies.
  • The FA correctly codes supplies for purchases to the appropriate General Ledger account number.

Job Requirements:

  • Must have a degree in accounting, business or related field
  • Must have at least one year of related or similar work experience
  • Basic knowledge of Accounting and demonstrate the ability to assist in proper maintenance of an accounting system
  • Excellent computer skills including, but not limited to, Microsoft Word, Excel, Power Point and Access
  • Ability to communicate in English and excellent verbal and written communication skills
  • Organizational and planning skills to prioritize work, handle multiple tasks simultaneously and take initiative
  • Detail-oriented
  • Works independently with little direct supervision
  • Interacts with difficult individuals while maintaining composure
  • Able to work cooperatively as a member of a team
  • Able to work under stress in a fast-paced environment
  • Maintains prompt and regular attendance.
  • Verify timecard at the end of each pay period
  • Performs related work, as assigned.

Physical and Other Requirements:

  • Must be able to pass a criminal background check, drug screen and physical assessment.
  • Must be willing to do local and out-of-state travel.
  • Must be able to sit, stand, or walk for long periods of time.
  • Must be able to lift a minimum of 10 lbs. routinely.
