Role Summary: 

The primary role of the Operations Team Administrator (OTA) is to provide administrative support to the Bridgetown Operations team. 


The Operations Team Administrator will have the ability to work independently on projects, from conception to completion, and work under pressure at times to handle a wide variety of activities. The ideal candidate will be one who thrives in and enjoys being a project liaison for a diverse combination of operational needs. 


The Operations Team Administrator will effectively communicate across a variety of platforms while working to display positive energy, a problem-solving attitude, and offer support to the Bridgetown Operations team. This individual will have the proven ability to exercise good judgment and discretion in a variety of situations, with strong written and verbal communication, administrative and organizational skills, and the ability to maintain a realistic balance among multiple priorities. 



Primary Job Responsibilities:


Operational Support

  • Provide administrative support to Operations Director on various projects
  • Support Bridgetown Human Resources in various tasks, including but not limited to hiring, onboarding, and offboarding
  • Support Bridgetown Accounting in various tasks, including but not limited to, vendor setup, annual 1099 reporting, weekly bank deposits, accounts payable/receivable data entry, expense reporting for Bridgetown Operational Ramp expenses, and month-end accounting processes
  • Collaborate with the Operations and administrative team to ensure operational needs are met across all functions of the church


Office Management

  • Welcome visitors to the Bridgetown office with warm reception and generous hospitality, maintaining front door presence during office hours as needed
  • Manage and maintain oversight of all Bridgetown computer hardware, including purchases, repair scheduling, and replacements every three years as outlined in the budget. Ensure the Bridgetown Hardware Tracker is current and accounts for each Bridgetown owned computer/device.
  • Ordering and restocking office supplies, maintaining the designated budget for supplies, purchasing office furniture, scribing and distributing Staff Meeting notes, receiving and distributing mail
  • Coffee and kombucha management to include making coffee daily for Bridgetown office, managing coffee stock and ordering coffee supplies weekly for all Bridgetown gatherings, events, lectures, etc., maintaining kombucha stock, ordering kombucha kegs and scheduling equipment maintenance as needed.
  • Purchase and prepare for necessary staff meeting snacks/meals, including scheduling and setting up catering as needed for both Operations Department meetings and/or staff-wide meals. Setup, clean up, and reset of communal spaces after those meetings.


Platform Management

  • Manage and maintain Bridgetown operational platforms such as Google Suite, Microsoft, Adobe, Slack, Planning Center Online, etc.
  • Oversee updating the PCO People database twice a year
  • Maintain volunteer dashboard that provides a snapshot for the health of volunteer teams across Bridgetown
  • Maintain efficient processes for volunteer serve request forms including performing background checks when applicable and routing to appropriate department leads.


Communications

  • Manage and correspond through the main Church email account & voicemail to ensure a thoughtful response to all messages within seven days
  • Serve as the main point of contact for all building partners and lessees and communicate any needs to the appropriate team members.
  • Liaise with various office vendors/service providers


Calendar and Events

  • Oversee event requests both internal and external. Including, but not limited to, management of church-wide Planning Center Calendar, communication with team members required for various events, initiating contracts for and ensuring all requirements are met prior to external events.
  • Support EA to Executive Director on the Annual Ministry Calendar planning process.
  • Lead Safety volunteer team including training and scheduling of serve requests via Planning Center Online to ensure team is staffed for each of the Bridgetown Sunday gatherings
  • Ensure attendance is recorded at all Bridgetown Sunday gatherings
  • Support Bridgetown team as needed during Sunday gatherings 
  • Facilitate celebrations for Operations Team members to include birthday card preparations, purchasing of gifts, and securing celebration time on staff meeting agenda



Minimum Job Qualifications:

  • Living within character qualifications of 1 Timothy 3:1-13
  • Understand and adhere to Bridgetown staff values, principles and policies
  • Knowledge and experience using common computer programs and email
  • Fluency with Mac applications, Google Suite (familiarity with Slack, Planning Center, Zoom preferred)
  • Excellent interpersonal and communication skills (oral and written, including spelling, grammar, punctuation)
  • An inherent desire to achieve exceptional results
  • Ability to perform and prioritize multiple tasks with attention to detail
  • Ability to track and respond to communication across multiple channels (e.g. meetings, calls, text messages, Slack, Google Docs comments) without losing details
  • Demonstrates emotional intelligence 
  • Self-starter who is well organized and proactive
  • Excellent time management skills with a proven ability to meet deadlines
  • Enthusiasm and passion to serve Bridgetown in any way needed


Bonus Qualifications:

  • 3+ years experience in administration 
  • Valid driver’s license and viable transportation
