Job Summary

We are seeking an Administrative Operations Assistant to join our team at Geffen Mesher & Company PC. This role will be responsible for maintaining the daily organization and upkeep of our office facilities, including equipment maintenance, supply inventory replenishment, and express package deliveries.

Key Responsibilities
  • Manage daily mail distribution and delivery to the post office or post office drop, as necessary.
  • Process daily postage, UPS, and certified mail preparation.
  • Deliver inter-office packages and paperwork daily.
  • Serve as the primary point of contact for package deliveries, managing and routing delivery receipts.
  • Act as the main point of contact for employees regarding office maintenance and issues, initiating service calls as needed.
  • Maintain compliance with health and safety protocols through daily upkeep of kitchen, meeting rooms, wellness rooms, and other communal areas.
  • Monitor and schedule regular maintenance of office equipment, including printers, copiers, and scanners.
  • Organize and maintain par levels of office supplies.
  • Act as a liaison to remote employees regarding mail received and checking desks for needed documents.
  • Provide clerical support to the administrative group, including scanning and filing in a virtual file room.
  • Manage archive records database, facilitating record retrieval requests from off-site storage.
  • Support in-office events, including room setup and cleanup.
  • Assist with busy season events, including setups for catered dinners.
  • Monitor the Training Room calendar to plan for room setup execution.
  • Provide backup coverage for Front Desk Coordinator duties during breaks, lunches, and vacations.
  • Participate in the Safety Committee.
  • Perform other duties as assigned.
Requirements
  • High School diploma or general education degree (GED) and experience working in a professional environment.
  • Strong computer skills, comfortable working in a Windows environment, and learning new software.
  • Intermediate knowledge of the Microsoft Office suite (Word, Excel, Outlook, Teams, Zoom, and Adobe Acrobat).
  • Experience using standard office equipment, including large capacity printers/copiers and scanners.
  • Comfortable working in a deadline-driven environment and able to balance competing priorities with ease.
  • Proactive, receptive to feedback, and able to solve problems independently or within a team.
  • Ability to communicate clearly and comfortable reaching out for further direction and clarity as needed.
  • Strong work ethic.
