Hope Clinic is seeking a part-time Receptionist to manage front office administrative functions in our busy medical clinic. Position anticipated to work approximately 18 hours per week, with the following schedule (note rotating Thursdays and Saturdays when Saturday clinic is open):
Weeks without Saturday Clinic Weeks WITH Saturday Clinic
Tuesday: 7:00 am - 1:30 pm Tuesday: 7:00 am - 1:30 pm
Wednesday: 8:30 am - 1:30 pm Wednesday: 8:30 am - 1:30 pm
Thursday: 7:00 am - 1:30 pm Saturday: 7 am - 1:30 pm
As a first point of contact for the medical clinic, the Medical Clinic Receptionist performs a variety of administrative functions to ensure welcoming and efficient operations in compliance with established work procedures. Duties include but are not limited to opening and closing the facility, greeting patients, volunteers, and visitors, answering a multi-line phone system, scheduling appointments, and managing patient flow within the clinic.
Required Education and Experience:
- Minimum HS Diploma or GED
- Office experience required; clinical reception experience preferred
- Experience working with a diverse and public population
- Basic supervisory experience preferred
- Experience working with and training volunteers desirable
Required Competencies:
- Strong interpersonal and communication skills to effectively interact with a diverse population of patients, volunteers, and clinicians
- Calm, patient, and friendly demeanor to consistently ensure a welcoming environment
- Dependable and reliable, including consistent attendance and punctuality
- Detail oriented with strong initiative and problem-solving skills
- Intermediate to strong computer proficiency and ability to learn new software systems
- Excellent time management and organizational skills
Primary Responsibilities:
- Responsible for clinic opening and closing as directed
- Train reception and front office volunteers and supervise their assigned activities
- Patient reception and registration, including screening for appropriateness for walk-ins and redirecting patients when needed
- Patient flow management
- Answering multi-line telephones
- Appointment scheduling onsite
- Providing directions for lab and x-ray services
- Assigning volunteers for administrative tasks such as reminder calls, COVID screening, etc. as needed, ensuring completion of those tasks by the end of shift
- Ensuring patient paperwork is fully completed with visit information, and any other documents needed to verify charts are complete at check out.
- Maintenance of printed materials and forms, ensuring information is up to date and accurate
- Respond to patient inquiries about Behavioral Health Free Services brochure, emergency food/referrals
- Provide resource information to patients, volunteers, and visitors
- Resolve operational problems during the clinic
- Inform clinic staff of items to be addressed/followed-up; make phone calls and reschedule appointments as requested by clinic coordinator
- Ensure volunteer is trained to cover position in the event of absence
- Utilize Champs verifications system for all impending patients to determine Medicaid coverage
- Record and report on all no-call/no-show appointments
- Check all upcoming patients to verify if a financial questionnaire should be updated
