Job Summary:
This person is responsible for ordering material from approved suppliers. Also responsible for keeping track of inventory levels and forecasting ahead on larger volume jobs.
Essential Functions:
Determines if inventory quantities are sufficient for needs, ordering more materials when necessary.
- Follows up with vendor if previously confirmed deliver dates are not met.
- Notifies customer service/production/receiving/management of lead times.
- Schedules delivery dates with suppliers.
- Contacts vendors and corrects PO shipment errors when identified by the receiving department and/or QC, such as incorrect items shipped, or damaged goods, upon arrival.
- Organizes blanket orders.
- Enters purchasing orders into the system.
- Negotiates vendor price breaks and volume discounts when necessary.
- Sets up new vendors and provides documentation for credit terms and credit card purchases.
Additional Responsibilities:
Perform additional duties as assigned by direct supervisor.

Knowledge, Skills, & Capabilities:
Knowledge of administrative and clerical procedures and systems such as data entry and managing files and records.
- Knowledge of basic computer skills in Microsoft Office, Excel, Word, and Outlook.
- Knowledge of material, product, and inventory principles.
- Communication Skills- Active Listening and Verbal Communication.
- Excellent attention to detail.
Physical Requirements:
Largely a sedentary role, however, routinely uses standard office equipment such as calculators, computers, phones, photocopiers, filing cabinets, fax machines, and printers.
Work Environment:
Professional office environment.
- Occasionally exposed to moving mechanical parts and vehicles due to necessary communication with shipping and receiving.
- Occasionally exposed to noise level that is moderate to high.
Education:
High School Diploma or Equivalent
Experience:
At least 1 years’ experience related experience or training, or equivalent combination of education and experience.
