About the Job:

At Nivagen as an Office Admin you will be working with both the operations department and the sales team. You will be coordinating office activities and operations while providing clerical and administrative support to the management.

Responsibilities:

  • Manage emails, letters, packages, phone calls and other forms of correspondence
  • Shipping of packages to the counterparts across the globe
  • Track and replace office supplies as necessary to avoid the interruptions in standard front office procedures
  • Placing purchase orders (POs) for R&D materials and other
  • Coordinate truck shipments of products on the phone and via email
  • Help all departments of the company with a myriad of tasks, from international shipping, to reviewing packaging designs, to organizing office parties
  • Support bookkeeping and budgeting procedures for the company
  • Manage agendas, travel plans and appointments for the upper management
  • Assist colleagues whenever there is an opportunity to do so
  • Assist the sales team with setting up products at the wholesalers via their portals
  • Gather relevant documentation, and information for implementation of product launches
  • Work with domestic and international manufactures in the production of Nivagen products
  • Learn about new FDA pharmaceutical serialization requirements, perform data entry into serialization portals, and help manufacturers in troubleshooting issues that arise
  • Work with our distribution center on a variety of tasks: coordinating deliveries, requesting documentation for regulatory and inventory purposes, etc.
  • Any other duties requested by upper management

Qualifications:

Education/Experience:

  • Bachelor's degree.
  • A minimum of 2 years' experience

Knowledge, Skills, and Abilities:

  • Proficiency in Microsoft Office
  • Good record keeping skills
  • Accurately pronounce medical and pharmaceutical terminology to handle the shipments
  • Excellent verbal and written communication skills
  • Must be detail oriented and possess a high level of accuracy
  • High integrity, able to maintain above average attendance and punctuality

Requirements:

  • Valid driver's license and acceptable driving record.
  • Legally authorized to be employed in the United States.
  • Must live or willing to move to Sacramento Metropolitan Region (Approx. 40 miles' radius).
