Position Summary:

The Front Desk Representative is the first point of contact for visitors and clients. This role involves managing the front desk operations, greeting visitors, handling inquiries, and performing various administrative tasks to ensure the smooth functioning of the office.

Key Responsibilities:
  • Answer and Direct Calls: Manage the phone system, screen and forward calls, take messages, and handle inquiries.
  • Maintain Reception Area: Ensure the reception area is tidy, organized, and presentable at all times.
  • Schedule Appointments: Manage calendars and schedule appointments for staff members as needed.
  • Handle Mail and Deliveries: Receive, sort, and distribute incoming mail and deliveries; prepare outgoing mail and packages.
  • Administrative Support: Assist with various administrative tasks such as data entry, filing, and maintaining records.
  • Customer Service: Provide excellent customer service by addressing and resolving inquiries and issues promptly and courteously.
  • Security Protocols: Monitor and ensure compliance with security protocols for the building and staff.
  • Supplies Management: Maintain inventory of office supplies and place orders as necessary.
  • Assist with Events: Help organize and coordinate office events and meetings.
Qualifications:
  • High school diploma or equivalent; additional education or training in office administration is a plus.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office equipment.
  • Customer-focused with a professional and friendly demeanor.
