We are currently seeking a dedicated and organized Office Manager/Executive Assistant to join our team in Neptune, NJ.

Position Overview:

The Office Manager/Executive Assistant will play a crucial role in ensuring the smooth operation of our office. This dual-role position requires a highly organized individual who can manage daily office activities while providing comprehensive support to our executive team. The ideal candidate will be proactive, detail-oriented, and able to handle a variety of tasks with efficiency and professionalism.

Key Responsibilities:

Office Management:

  • Oversee daily office operations, ensuring a well-organized and efficient work environment.
  • Manage office supplies inventory, ordering and replenishing as needed.
  • Coordinate maintenance of office equipment and facilities.
  • Handle incoming and outgoing mail and deliveries.
  • Organize and maintain office files, both physical and electronic.
  • Plan and coordinate office events, meetings, and conferences.
  • Ensure compliance with office policies and procedures.
  • Greet and assist visitors, clients, and vendors.

Executive Assistant:

  • Provide administrative support to the executive team, including scheduling meetings, managing calendars, and arranging travel.
  • Prepare and edit correspondence, reports, and presentations.
  • Conduct research and compile data for various projects.
  • Assist with special projects and initiatives as needed.
  • Act as a liaison between executives and internal/external stakeholders.
  • Handle confidential information with discretion and professionalism.
  • Coordinate and prepare materials for executive meetings and presentations.

Qualifications:

  • Proven experience as an Office Manager, Executive Assistant, or similar role.
  • Excellent organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and as part of a team.
  • High level of integrity and discretion in handling confidential information.
  • Detail-oriented with strong problem-solving skills.
  • Ability to prioritize tasks and manage time effectively.
