Position Summary:
The Sales Assistant plays a key role in supporting the sales team by helping to achieve sales targets and ensuring excellent customer service. This position handles a variety of administrative tasks, responds to customer inquiries, and assists with sales-related activities. Additionally, the Sales Assistant serves as the first point of contact for visitors and callers, maintaining a welcoming and professional atmosphere. Responsibilities include managing the front desk and providing general administrative support. The ideal candidate is personable, highly organized, detail-oriented, efficient, and able to multitask in a fast-paced environment with strong communication skills.
Key Responsibilities:
• Assist the sales team with daily administrative tasks such as preparing sales reports, managing schedules, and coordinating meetings.
• Prepare and format documents, reports, contracts, and presentations for the sales team.
• Maintain accurate records for documents and correspondence.
• Manage data in relevant databases and CRM systems.
• Track and monitor expenses related to sales.
• Assist the sales team in generating leads and qualifying prospects.
• Maintain and update customer databases and sales records.
• Monitor and report on sales performance metrics and trends.
• Serve as a liaison between key stakeholders, executives, and the sales team.
• Respond to customer inquiries and provide accurate information about the company's products and services.
• Coordinate meeting logistics, including scheduling and preparing materials.
• Organize appointments, meetings, and deadlines for the team.
• Liaise with external vendors and consultants involved in sales activities.
• Help plan and execute sales events, trade shows, and conferences.
• Collaborate with the marketing team to execute promotional campaigns and events.
• Assist in creating and distributing marketing materials.
• Assist with responses to requests for proposals (RFPs).
• Handle sensitive information with discretion and maintain confidentiality.
• Stay informed about the company's products and services to provide accurate information to customers.
• Participate in training sessions to enhance product knowledge and sales skills.
• Greet visitors, clients, and employees in a warm and professional manner.
• Manage the reception area to ensure a welcoming and organized environment.
Education and Experience:
• High school diploma, GED, or equivalent combination of education and experience.
Knowledge, Skills, and Abilities:
• Proficiency in Microsoft Office Suite
• Familiarity with project management and CRM tools (e.g., Microsoft Planner, HubSpot).
• Strong communication skills (oral and written).
• Excellent time management, organizational, and multitasking abilities.
• Adaptability to a fast-paced, deadline-driven environment.
• Ability to identify process improvements and enhance efficiency.
• Strong interpersonal skills for effective collaboration.
• Solid problem-solving skills and the ability to manage multiple projects simultaneously.
