Executive Support:
- Manage and prioritize executive's calendar, schedule meetings, and coordinate travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Handle confidential information with discretion and maintain confidentiality at all times.
Administrative Tasks:
- Organize and maintain filing systems, both electronic and physical.
- Screen and manage incoming communications, including phone calls, emails, and messages.
- Coordinate and manage meetings, including preparing agendas, taking minutes, and following up on action items.
Project Management:
- Assist with project coordination and management, ensuring deadlines are met and deliverables are achieved.
- Track and report on project progress, identify potential issues, and propose solutions.
Client and Stakeholder Relations:
- Serve as a point of contact for clients and stakeholders, ensuring professional and courteous communication.
- Assist in organizing and managing client events, presentations, and follow-ups.
Office Management:
- Oversee office supplies, equipment, and facilities, ensuring they are well-stocked and maintained.
- Coordinate with vendors and service providers as needed.
Qualifications:
- Proven experience as an executive assistant or in a similar administrative role.
- Strong organizational and time-management skills with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- High level of discretion and confidentiality.
- Ability to work independently with minimal supervision and adapt to changing priorities.
- Strong problem-solving skills and attention to detail.
