Position Overview: We are seeking a highly skilled and experienced Spanish Bilingual Executive Assistant to support our executive team. This position is responsible for providing administrative and research support to the Chief Operations Officer, Manage reports and statistics functions and special projects. The ideal candidate will have the ability to work with politicians and dignitaries, possess exceptional organizational skills, and be an expert in the Microsoft Office Suite. This role requires the ability to travel up to 30% of the time, both domestically and internationally.
Key Responsibilities:
- Provide high-level administrative support to executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Develop and maintain efficient administrative systems to support the COO.
- Manage TBM reports and statistics functions including creation and distribution of internal operations reports, board reporting, year end results, scheduled weekly and monthly case management reports, ad hoc reports requested from member companies and regulators as well as all other reporting needs of the organization as determined by the COO.
- Preparation of presentation material, speaking notes and Power Point presentations.
- Maintain expense reports and company documents
- Maintain the COO’s calendar and scheduling priorities
- Maintaining up to date contact lists and database files as required by the COO.
- Typing and formatting letters, memos, reports and standard form legal agreements from written notes and drafts prepared by the COO.
- Serve as a liaison between COO and external stakeholders, including politicians, dignitaries, and other high-profile individuals.
- Prepare and edit correspondence, reports, presentations, and other documents in both English and Spanish.
- Carrying out a variety of special projects and assignments requiring research, analysis and coordination of information.
- Handle confidential information with discretion and professionalism.
- Organize and maintain files, records, and documentation.
- Assist in the planning and execution of events, meetings, and conferences.
- Conduct research and compile data for reports and presentations.
- Manage and prioritize multiple tasks and projects with a high level of accuracy and attention to detail.
- Master of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) to create and manage documents, spreadsheets, and presentations.
Qualifications:
- Fluent in both Spanish and English, with excellent written and verbal communication skills in both languages.
- Proven experience as an executive assistant, preferably with experience working with politicians and dignitaries.
- Expert proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Excellent interpersonal skills, with the ability to interact effectively with high-profile individuals.
- Ability to handle sensitive and confidential information with discretion.
- Willingness and ability to travel up to 30% of the time, both domestically and internationally.
- Bachelor’s degree in Business Administration, Communications, or a related field is preferred.
