The Administrative Assistant is a part time role that will play a crucial role in supporting daily operations at the branch level by managing administrative tasks and ensuring compliance with company policies and procedures. This role reports directly to the Branch Manager and requires a proactive and flexible approach to support daily operations effectively. The Administrative Assistant will contribute to maintaining smooth operations and ensuring compliance across various administrative functions within the branch.

RESPONSIBILITIES:

  • Daily Administrative Tasks:
    • Gather, review, and submit morning DOT paperwork.
    • Sort and prepare morning billing paperwork for manager review.
    • Compile and prepare morning compliance paperwork for quality control review; submit final product daily.
    • File daily DOT, truck, and compliance paperwork.
  • Biweekly Responsibilities:
    • Review, prepare, and submit biweekly hydrotesting paperwork.
    • Prepare biweekly hydrotest report reflecting branch-owned cylinder transactions.
  • Office Management:
    • Manage branch office supply inventory.
    • Prepare purchase orders for approval and submission.
    • Coordinate with corporate vendors for bulk product orders.
    • Arrange shipping through third-party vendors as required.
  • Financial and Payroll Support:
    • Assist branch personnel with expense reports, mileage reimbursements, etc.
    • Verify accuracy of payroll/punch systems and input payroll adjustments as directed.
  • Travel Coordination:
    • Maintain branch PTO and travel board.
    • Book travel arrangements for branch personnel.
  • Compliance and Reporting:
    • Maintain compliance room and ensure files are accurate and orderly.
    • Update weekly helium report.
    • Update monthly cycle count inventories and collaborate with corporate inventory departments on variance reviews.
  • Special Projects and Reporting:
    • Generate ad hoc reports as requested by branch managers.

REQUIREMENTS:

  • Proven experience as an administrative assistant or in a relevant administrative role.
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively.
  • Attention to detail and problem-solving skills.
  • Proficiency in MS Office, particularly Excel and Word.
  • Excellent written and verbal communication skills.
  • Ability to work independently with minimal supervision.
  • Knowledge of DOT regulations and compliance procedures (preferred).
  • Experience with payroll systems and financial documentation (preferred).
  • High school diploma or equivalent; additional qualifications in Office Administration are a plus.
