- Answer phones & assist with questions/concerns
- Assist office visitors
- Exhibit polite and professional communication via phone, e-mail, and mail
- Receive new jobs & input customer, insurance, and job information to project management software (RMS)
- Update the insurance company/internal team by updating jobs in RMS - upload documents & photos, enter dates, and write notes to document all job communication/activity
- Make job folders & prepare job documents for field employees
- File, scan, copy, fax
- Office supply inventory & ordering
- Schedule appointments for interviews, vehicle maintenance, etc.
- Provide support for in-office events & marketing initiatives
- Run errands. Shop for supplies for employee appreciation events, food for monthly meetings, etc.
- Maintain the employee bulletin board - make & post memos about meetings, updates, and future events
- Provide administrative support to ensure efficient operation of office
- Contribute to team effort by accomplishing related results as needed
- Support team by performing tasks related to organization with strong communication
- Miscellaneous job duties as directed
