Summary:

Under direction of the Manager, this is an administrative position that shares reception duties such as scheduling appointments, giving information to callers, taking client payments, providing file documentation (paper and electronic), processing daily revenue deposits, and otherwise performing clerical work and minor administrative and business tasks. This position is primarily responsible for administrative duties of the Medically-Assisted Treatment (MAT), Domestic Violence Program, and Drug Medi-Cal programs. This position may be assigned to the Santa Cruz and/or Watsonville outpatient clinics.

Responsibilities:

  • Greet clients, answer phones, and assist clients with needs in a trauma-informed, culturally humble manner.
  • Provide Medical/Medicare information to clients
  • Schedule/re-schedule client appointments for all programs
  • Take client payments and generate receipts • Create new client files
  • Maintain supply of client file forms • Pull client files (group and individual) for counselor appointments for that day
  • Maintain cleanliness of waiting room and stocking of brochures and other written information for clients
  • Data entry for Avatar or other electronic portals
  • Monitor billing submitted, ensure that payment has been received for services billed
  • Monitor client files, ensure that timelines are adhered to
  • Scan client forms into Avatar if needed
  • Billing and invoicing for services as needed
  • Adherence to and support of Encompass personnel, facility and expense policies
  • Provide administrative and clerical support for the Medically-Assisted Treatment Program
  • Administratively process drug testing collections of clients as needed • Process daily deposits, record client attendance for programs, clerical filing, process client intakes
  • Occupy front reception desk and duties, provide support for multi-line phones, order supplies as needed, process purchase vouchers
  • Other duties as assigned

Qualifications:

  • High School Diploma or GED
  • 1 year related administrative or clerical work experience
  • Experience working in an administrative or clerical capacity in a healthcare setting
  • Experience with collaborative and trauma informed communication styles when serving clients in a healthcare or treatment setting
  • Proficient computer skills and history of timely completion of work related tasks
  • Bilingual in Spanish highly preferred
  • Good oral and written communication skills with colleagues and clients
  • Effective organizational and time management skills
  • Effective prioritization of daily work tasks
  • Effective experience problem solving and using critical thinking
