Job Title: Vaccine Management Coordinator

Location: Vanguard Medical Group, Verona, NJ

 

Position Overview:

The Vaccine Management Coordinator at Vanguard Medical Group plays a pivotal role in overseeing vaccine inventory, distribution, and regulatory compliance. This position is responsible for ensuring the efficient management of vaccines across all facilities, maintaining compliance with regulatory requirements, and optimizing vaccination efforts to support the health and safety of our patients and community.

 

Key Responsibilities:

  • Inventory Management:
    • Oversee the procurement, storage, and distribution of vaccines across all Vanguard Medical Group locations.
    • Monitor vaccine inventory levels, track expiration dates, and implement replenishment strategies to ensure adequate supply availability.
    • Conduct regular inventory audits and reconcile discrepancies to maintain accurate vaccine records.
  • Regulatory Compliance:
    • Stay informed about vaccine-related regulations, guidelines, and recommendations issued by regulatory agencies such as the CDC, FDA, and state health departments.
    • Ensure compliance with vaccine storage, handling, and administration standards, including documentation of temperature monitoring and vaccine administration records.
    • Facilitate audits and inspections by regulatory agencies, responding to inquiries and addressing any identified deficiencies promptly.
  • Vaccine Distribution and Administration:
    • Coordinate vaccine distribution to all Vanguard Medical Group facilities, ensuring timely delivery and proper handling procedures.
    • Collaborate with healthcare providers and staff to facilitate vaccine administration clinics, including scheduling, staffing, and logistics coordination.
    • Provide guidance and support to vaccination site staff on vaccine storage, handling, administration techniques, and safety protocols.
  • Data Management and Reporting:
    • Maintain comprehensive records of vaccine inventory, distribution, and administration using electronic systems or databases.
    • Generate reports on vaccine utilization, coverage rates, and compliance metrics to monitor program effectiveness and identify areas for improvement.
    • Ensure timely reporting of vaccine adverse events and follow reporting requirements outlined by regulatory agencies.
  • Collaboration and Communication:
    • Collaborate with internal stakeholders, including healthcare providers, administrators, and staff, to streamline vaccine management processes and address any operational challenges.
    • Communicate regularly with external partners, including vaccine manufacturers, distributors, and regulatory agencies, to stay informed about vaccine availability, updates, and requirements.
    • Conduct staff education sessions on vaccine administration, management, proper storage, and handling techniques.

 

Qualifications:

  • CMA, CCMA, RMA certification and 5+ years of clinical experience preferred. 
  • Knowledge of vaccine storage and handling guidelines, cold chain management principles, and vaccine administration practices.
  • Familiarity with regulatory requirements related to vaccine management and reporting.
  • Strong organizational, communication, and interpersonal skills.
  • Ability to work collaboratively in a fast-paced environment and adapt to changing priorities.
  • Proficiency in data management and use of electronic health record (EHR) systems or vaccine tracking databases.
  • Requires travel to our 11 local offices throughout Northern and Central NJ.
