Worcester Academy, a day-boarding school with grades 6 thru PG, seeks a highly professional administrative assistant who is committed to the ideals and joys of working in an independent school. The successful individual in this role also will understand the value of working cooperatively and collaboratively with adults in a team-based setting as well as have the ability to work independently.

This position reports to the Upper School Head and the Assistant Head of School for Student Life

Roles and Responsibilities:

General

  • Responsible for the front desk, greeting area, and the office's' overall first impression for visitors, parents, and students
  • Provide administrative support to Upper School Office
  • Coordinate Upper School registration, final exams, back to school night, class trips, cum laude committee and award documents and assembly
  • Maintain US calendar and ensure all key dates are shared with the school's master calendar
  • Manages calendar and communications of the Upper School Office team
  • Schedule all events and meetings and works with facilities and other departments on scheduling and communications plans
  • Set up and manage Parent Teacher Conferences
  • Track US Faculty absences and oversee coverage system
  • Assist with the student attendance line
  • Maintain discipline records and coordinate in-house Morning Study Hall periods
  • Assist the AP Coordinator in the management of AP exams
  • Manages supply closet and coordinates maintenance of office equipment

Additional Responsibilities

  • Assign lockers for day students and develop advisors seating charts for Upper School Community Time.
  • Process all attendance for Community Programming initiatives
  • Develop and sustain relationships with parents that support each student's well-being
  • Develop and sustain relationships with students while maintaining mature and age-appropriate judgment and boundaries
  • Perform other duties as assigned



Desired Qualifications and Skills:

Education

  • Minimum of an Associates degree; Bachelor's degree preferred

Experience

  • At least two years working in an Administrative support role, preferably in an educational setting
  • Independent School experience is highly desirable
  • Knowledge of Google suite of products and Blackbaud highly preferred

Knowledge, Skills and Abilities

  • Passionate about providing strong customer service
  • Excellent computer skills
  • Ability to communicate tactfully, thoughtfully, and in modes appropriate to the audience
  • Flexibility and a sense of humor
  • Demonstrated skill in working with students and colleagues from diverse backgrounds

Working Environment:

  • Work full-time and maintain regular and predictable attendance.
  • Ability to move throughout the campus during all weather conditions.
  • Ability to effectively communicate in person and digitally with faculty, staff, parents, students and external contacts.
