What This Job is About:

RedPeg Marketing is seeking a highly organized and proactive Executive and Personal Assistant to support the CEO in managing both professional and personal responsibilities, serving as his righthand support where business and personal life overlap. The ideal candidate will be an experienced professional with exceptional multitasking abilities, strong attention to detail and the ability to manage multiple complex tasks with a high degree of confidentiality, simultaneously with little to no supervision.  They will be someone who finds deep satisfaction in making another person’s life run smoother. They have a natural love for organization, is someone who is consistently early and can be depended on, as well as having the ability to remain calm in all situations even when the CEO is under pressure. The selected candidate for this role will assist with managing the CEO’s Social Media Accounts, provide sales/growth assistance through presentation support, and ensure that the CEO’s schedule and commitments are managed efficiently. This role demands a balance of administrative acumen, strategic support, and personal assistance, ensuring that the CEO’s time is optimized, and business operations run smoothly across multiple endeavors to include RedPeg Marketing, Chance for Life, Deep Cuts Entertainment, and Pixis Drones.

Key Responsibilities

Administrative Tasks:
  • The Executive Assistant is a highly resourceful team player, who is comfortable working in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, and efficient
  • Manage a variety of administrative duties including document preparation, filing, office management, and handling confidential information with discretion.
  • Acts as a Project Manager to coordinate communications and information, working with others to assure compliance with timelines pertaining to requests by the CEO for information and service.
  • Keep track of deliverables owed to the CEO and help with follow-up.
  • As a critical member of the team this position serves as the hub for all activities of the senior leadership of the company and as such will exercise independent judgment in a variety of situations, maintaining a realistic balance among multiple priorities
  • On call 24/7 and is expected to take the CEO calls at all times and is expected to be responsive to CEO requests often after business hours,  and when the CEO is traveling abroad;

Calendar Management:
  • Maintain and manage the CEO's complex business and personal schedules, ensuring all appointments, meetings, and events are accurately scheduled and prioritized.
  • Coordinate and schedule internal and external meetings, conference calls, and appointments, ensuring alignment with the executive’s priorities and availability.
  • Serve as the primary point of contact for scheduling inquiries, both internal and external, ensuring prompt and professional responses.
  • Proactively identify and resolve scheduling conflicts, making necessary adjustments to optimize the CEO’s time and availability.

Communication Management:
  • Acts as the point of contact or “gatekeeper” among other executives, employees, clients, and external partners, determining accessibility to the CEO based on knowledge of CEO priorities, projects, and schedule.
  • Manage external contacts, strategically coordinate meetings, and draft emails.
  • Work closely and effectively with the CEO to keep him informed of top priorities, upcoming commitments, and responsibilities, following up appropriately.

Meeting Preparation:
  • Prepare detailed agendas, take accurate minutes, and follow up on action items to facilitate effective decision-making and ensure tasks are completed.
  • Audits and takes minutes of all meetings if requested by the CEO.

Travel Arrangements:
  • Assist with scheduling travel arrangements, including flights, accommodations, and transportation, ensuring all details are aligned with the CEO's schedule.

Event Planning:
  • Assist in organizing company events, client meetings, speaking engagements, and personal gatherings, ensuring that all details align with the company’s objectives and the CEO's expectations.

Sales/Growth Assistance:
  • Collaborate with the sales and marketing teams to prepare impactful sales presentations and growth strategy materials, ensuring alignment with the company’s branding and goals.

Social Media Management:
  • Assist in creating, scheduling, and managing the CEO's marketing-related social media posts, maintaining consistency with the company’s branding and marketing strategies.

Personal Tasks:
  • Oversee and manage personal tasks for the CEO, such as running errands, scheduling personal appointments, and handling household management duties, ensuring a balance between professional and personal life.
  • Assist with personal affairs such as personal appointments, dinner reservations, travel plans, dry cleaning, home services, getting lunches, etc., for the CEO and, as necessary, for their family.

What You’re All About:
  • 8+ years of EA or administrative assistance experience, preferably with experience supporting C-suite executives, and preferably with personal assistant experience
  • Bachelor’s degree highly preferred 
  • Experience in supporting sales and growth initiatives, including creating both PowerPoint and Keynote presentations.
  • Tech-Savy, proficient with MS Suite, Outlook, Word, Excel, and familiar with the Mac OS platform.
  • Exceptional organizational and time-management skills.
  • Self-starter mentality, confidence, and adept problem-solving abilities.
  • Demonstrated sound judgment and the ability to make autonomous decisions.
  • Consistently Positive and up-beat attitude even under the most stressful circumstance
  • High level of professionalism and commitment.
  • Capable of handling confidential information with discretion and sensitivity
  • Excellent written and verbal communication skills
  • Familiarity with all major social media platforms to include Facebook, LinkedIn, Twitter/X, Instagram, TikTok, and the social media strategies associated with those platforms.
  • Ability to work independently in a fast-paced, demanding environment and make decisions with minimal supervision
  • Strong interpersonal skills and the ability to build relationships with stakeholders at all levels.
  • Flexibility to work in the evenings and on weekends as necessary
  • Flexibility to manage both professional and personal tasks for the CEO.
  • Ability to thrive in a fast-paced, dynamic environment.
