Duties Include:

· Oversees outpatient clinic as assigned and helps with staff development.

· Evaluates operations staff performance and recommends merit increases, promotions, and disciplinary actions with the guidance of the Clinical Operations Manager.

· Assess team member needs for scope of role, development needs, succession planning and clinic outcomes: create and promote development plans accordingly.

· Lead regular team meetings, resolve conflict when needed, motivate employees and foster a culture of communication that promotes employee retention with the guidance of the Clinical Operations Manager.

· Work with MA and Clinical Operations Manager to ensure smooth running of the clinic.

· Maintain office supply inventory

· Assist inpatient providers with administrative documentation.

· Processes All Death Certificates for the Office

· Keep the schedules full at all times for the clinic

· Bronchoscopy scheduling and Authorizations

· Handle physician questions and concerns with their schedules

· Handling of Mail and Interoffice Correspondence

· Assisting with other projects and administrative tasks, as needed.

· Supervises fee, credit and collection procedures.

· Helps with training of new employees & training with new computer upgrades.

· Manages Drug Rep lunches to the calendar

· Manages coordination with Drug Samples for the physicians.

· Assists patients with check and check out process along with the MA.

· Reviews clinical inbox and updates as required.

· Answers phones and makes same day and future patient appointments in Athena according to clinician protocol.

· Monitors “missing tickets”, follows up with physician and drops claims per PMA protocol.

· Sends out patient summary letter via portal or mail.

· Performs related work as assigned.

Requirements:

· Knowledge, Skills and Abilities:

· Medical Assistant certification strongly preferred.

· Three years of related experience in a medical environment, including supervisory/lead experience, required.

· Knowledge of computer systems and applications.

· Skill in gathering, analyzing and interpreting information.

· Skill in written and verbal communication.

· Ability to exercise initiative, problem-solving, decision-making.

· Ability to establish priorities and coordinate work activities.

· Strong customer service skills and ability to establish and maintain effective working relationships with other employees, physicians, patients and the general public.

· Strong detail orientation and ability to examine documents for accuracy and completeness.

· Ability to maintain confidentiality of sensitive information.

Typical Physical Demands: Requires prolonged sitting, some bending, stooping and stretching. Requires being able to lift up to 50lbs. Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator and other office equipment. Requires normal range of hearing and eyesight to record, prepare and communicate appropriate reports.

Typical Working Conditions: Medical Clinic Environment. Potential exposure to communicable diseases through contact with potentially infectious materials common to a clinic environment. May be exposed and OSHA guidelines to minimize exposure risk. Occasional evening or weekend work.
